We are seeking a highly organized and proactive Office Manager to oversee our office's daily operations. The ideal candidate will play a crucial role in ensuring the smooth functioning of our workplace by managing schedules, budgets, and projects. This position requires a blend of administrative expertise, strong communication skills, and the ability to multitask effectively in a fast-paced environment.
Office Management:
- Oversee the smooth running of the office, ensuring a clean, organized, and professional environment.
- Manage office supplies, equipment, and maintenance; order supplies as needed.
- Coordinate with vendors, service providers, and building management.
- Administrative Support:
- Provide administrative support to the agency owner and design team, including scheduling meetings, managing calendars, and preparing documents.
- Handle incoming calls, emails, and mail, directing them to the appropriate team members.
- Assist with the preparation of client presentations, proposals, and reports.
- Maintain and update client files, ensuring all documentation is accurate and current.
Financial Administration:
- Assist with basic bookkeeping tasks, including invoicing, accounts payable/receivable, and expense tracking.
- Coordinate with the external accountant to ensure accurate and timely financial reporting.
- Monitor and manage budgets for office supplies and administrative expenses.
Client Relations:
- Serve as the first point of contact for clients, providing a welcoming and professional experience.
- Schedule client meetings and manage client communications as needed.
Human Resources Support:
- Assist with the onboarding process for new employees, including preparing orientation materials and managing employee records.
- Support the agency owner in organizing team events, training sessions, and employee recognition programs.
Marketing Support:
- Assist with social media management and content scheduling, as needed.
- Help maintain and update the company website, including posting new content and updating portfolio work.
- Support the marketing team with administrative tasks related to client campaigns and internal projects.
- Assist in maintaining positive client relationships by responding to inquiries and providing information in a timely manner.
Job Type: Part-time
Pay: $22.00 - $24.00 per hour
Expected hours: 24 – 32 per week
