Position Summary:
Supports the Associate and Assistant Deans for Student Affairs by performing complex, advanced, diversified, and confidential administrative duties at the function level. Supports the Associate and Assistant Deans for Student Affairs with scheduling activities and communicating with faculty and staff. Communicates and coordinates instructions and desires with various individuals and/or departments. Schedules appointments and arranges meetings, conferences, and travel. Organizes and maintains correspondence and projects, follows up on pending matters with limited direction. Handles highly confidential information and files for the department/division. Prepares special reports and correspondence, summarizes, and analyzes data. Communicates with individuals across functions and departments, industry, and community. Organizes and expedites work through the office and initiates follow-up action. Assignments are broad in nature and usually require originality and ingenuity. Serves as a resource in the resolution of complex problems and issues.
Essential Functions:

·Composes and prepares a variety of information, including memos, letters, and reports including critical information that may be time sensitive. Handles telephone calls. Routes appropriately, takes messages, and assists callers with questions. Manages the calendars and schedules meetings for the faculty and staff in the Office of Student Affairs, sets up conference room and prepares presentation materials for the meetings. Coordinates travel arrangements, manages and orders supplies for office, and orders catering within the operating budget. Receives, sorts, distributes and/or handles incoming mail. Collects, archives, and submits documentation for independent contractor agreements.Assists with reconciling Creighton P-card expenses.
·Assists in special projects. Maintains, updates and reviews files for various projects. Organizes files for retrieval of information. Proctoring exams. Assists in the scheduling of proctors for all reviews, quizzes, and exams.
·Reviews all outgoing correspondence to ensure accuracy. Manages historical documents created within the Office of Student Affairs. Analyzes unit operating policies, such as record keeping systems, forms control, office layout, personnel and budgetary requirements and performance standards; makes recommendations as necessary.
·Processes invoices, expense reimbursements and direct payment requests. Assists in reconciling Dignity P-card expenses and standardized patient check requests.
·Coordinates student scheduling permits for USMLE Step 1 Prometric
·Other duties as assigned
Education & Experience:
·High school diploma or equivalent required.
·Associate's Degree preferred.
·6 years' administrative and/or office management experience.
·Organizational, time management, and project management skills/experience;
Knowledge, Skills, and Abilities
·Ability to work with people at all levels; self-starter.
