Position Overview

The DOT Fleet Compliance Manager is responsible for DOT fleet compliance activities for multiple operating companies to ensure compliance with all local, federal and state laws and regulations along with company policies.

Key Responsibilities (Essential Duties and Functions)

· Establish and manage consistent fleet compliance processes for multiple operating companies across Texas.

· Evaluate, monitor, analyze and identify all driver compliance and non-compliance issues and resolve them in a timely manner.

· Conduct routine compliance audits of driver files to include expired licenses and MVRs, equipment files, vehicle maintenance and inspection records and coordinate any training that needs to be implemented.

· Responsible for internal and external compliance reporting, providing compliance advice and assistance, and conducting compliance investigations.

· Monitor and assist with enforcement of DOT and FMCSA regulations.

· Responsible for supporting local representatives that are tasked with maintaining driver qualifications and driver trainings.

· Implement and manage compliance controls, procedures and operational processes.

· Maintain and issue fleet compliance insurance cards for company drivers and company owned power units.

· Apply for permits, filings and certifications for the company (oversize, IFTA, Hazmat, NMFTA, MCS-150 etc)

· Maintain roadside inspections and citations including overweight, traffic violations, etc.

· Assist management with driver vehicle inspection reports (DVIR) daily to correct and validate resolution.

· Manage the Safety Management System (SMS) to ensure all recorded information is accurate and belongs to our company record.

· Collaborate with local safety teams in the reporting and follow-up for all preventable and non-preventable fleet accidents.

· Assist and guide local teams with Lytx trigger events and appropriate coaching and documentation.

· Track and report fleet expense performance monthly to management, maintaining “cost per mile”.

· Coordinate and distribute truck permit books for current and new assets.

· Assist HR with processing the billing for testing at pre-employment.

· Serve as the administrator for fleet management software system and stay abreast of updates/changes, new features, releases, and training opportunities.

· Uphold strict standards of confidentiality and ethical conduct in handling sensitive information.

· Exercise discretion and professionalism in all interactions and communications, always demonstrating integrity and trustworthiness.

· Regular and predictable attendance at assigned times is required.

· Other duties as may be assigned.

Qualifications

Education/Experience

· High School Degree or GED required.

· Five (5) years’ experience in transportation compliance.

· Extensive knowledge of DOT rules and regulations.

· Able to read and follow written and verbal instructions and implement the same.

Work Requirements

· Must be 18 years in age or older

· Must pass pre-employment physical, drug screen and criminal background check

· Must possess a valid driver’s license

· Able to safely drive a vehicle

· Travel up to 25% of time

· Must be willing to travel and work away from home when required

· Must be willing to work nights and weekends when necessary

· Regular required attendance and reporting ready to begin work at the designated start time

· Strict adherence to safety requirements and procedures as per company policy

· Individuals are required to wear personal protective equipment (PPE) in designated operations and production areas as stated by OSHA and/or MSHA

· Compliance with all DOT, OSHA and/or MSHA regulations

Knowledge/Skill Requirements

· Excellent computer skills using MS Office (Word and Excel), e-mail and an attitude for learning new software.

· Ability to interact with all levels of the organization.

· Strong analytical and problem-solving skills.

· High standards of ethics, integrity, and trust.

· Ability to handle large volumes and a fast-paced environment.

· Excellent communication skills (both oral and written).

· Ability to meet individual deadlines, as well as work collaboratively with team to help them meet deadlines.

· Ability to work independently and perform under deadline pressure.

· Ability to understand and follow complex verbal and written instructions.

· Ability to meet attendance schedule with dependability and consistency.

Physical Requirements

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

· May occasionally lift move/carry up to 15 lbs. and occasionally use exertion forces of pushing/pulling of up to 15 lbs

· Frequently required to sit, stand, walk, talk and hear, use hands and fingers to manipulate objects for extended periods of time

· Vision abilities (with correction) include close, distance, peripheral, depth, and the ability to adjust focus

· Ability to communicate with others by telephone and in-person.
