Scheduling Coordinator - Medical Assistant (Front Office)

Position Summary
Job Summary:
This position is responsible for scheduling and coordinating routine and follow-up appointments in accordance with the approved authorizations, scheduling and wait time objectives and to assist direct patient care by performing routine patient care procedures, technical and clerical supportive services in the clinic setting. Additionally, this position may administer intramuscular, subcutaneous or intra-dermal injections and may perform skin tests, administer oral medication, venipuncture and skin punctures for blood specimens when his/her scheduling responsibilities are up to date.

Hours: M-F 8a-5p

Responsibilities:

  • Review approved authorization requests for accuracy. Communicate and coordinate with the Corporate Utilization Management department to modify authorizations, extend expiration dates, and modify CPT codes as needed.
  • Support scheduling of all specialty appointments.
  • Process all approved authorizations to assure corresponding appointments are scheduled in a timely manner.
  • Print and fax approved authorizations to respective specialty medical offices as needed.
  • Call specialty medical offices and schedule medical specialty appointments for participants, including urgent authorizations, rescheduled appointments, and onsite medical specialty appointments (i.e. acupuncturist, podiatrist, mental health services).
  • Access required information systems to schedule and obtain approved and completed authorizations and to support the reporting requirements.
  • Collaborate with Transportation Coordinator or designee to schedule participant transportation for offsite medical specialty appointments.
  • Coordinate Medical Escort coverage for offsite medical specialty appointments.
  • Conduct daily and weekly confirmations of specialty medical appointments with the respective medical offices and rescheduling them as required.
  • Obtain participant medical records as needed for upcoming offsite specialty medical appointments.
  • Prepare and coordinate all specialty appointments requiring medical notes, labs, radiology ‘CDs’, reports, etc. per protocol.
  • Coordinate procedure guidelines with appropriate personnel prior to the specialty medical appointment the for accurate patient care (i.e. medication regimens, fasting, surgical procedures).
  • Provide information on scheduled contracted provider appointments to patients and IDT staff as approved.
  • Maintain constant contact with appropriate IDT staff regarding pending appointments.
  • Applies knowledge of Medical Assistant skills and exercises judgment and scope of practice in giving patient care.
  • Accurately and quickly assists and/or carries out medical providers' orders by performing requested tasks, documents pertinent patient information, procedures performed, medications and injections administered, patient responses, and reports findings to the medical provider.
  • Receive and process all pending appointments from daily ‘approved referrals pending appointments’ report.
  • Coordinate with center staff to assure all patients are promptly and regularly reminded of upcoming medical specialty appointments.
  • Perform all other related duties as assigned.
