Job Summary: The purpose of this position is to ensure focus of the Worship Arts Department by attending to all details of activities required to carry out departmental responsibilities, goals, projects, and initiatives. This role manages all administrative functions of the offices of Worship & Production through organization, communication, customer service and the follow-through required for the department to perform with excellence. This role will serve as direct administrative support to the Executive Pastor of Worship Arts and Production Director. Duties/Responsibilities/Essential Job Functions: 1. Maintains oversight of Worship department calendar, providing timely reminders and details to department staff, and correctly prioritizing projects, requests, and deliverables, building systems or processes where needed. 2. Acts as communications liaison for Worship & Production externally and inter-departmentally, including incoming volunteer interests and Draft Day, meeting coordination, and communication of timelines of day for Special Events. 3. Administration of Worship Arts Department Goals and Ministry Plans, including Worship Arts team gatherings, Production team trainings and Special Events/Projects that Worship & Production take part in. 4. Comprehension and Use of internal Crossroads softwares and systems that require weekly upkeep and documentation, while meeting all deadlines of the various areas. a. Accounting: Divvy, Nexonia, ApprovalMax b. Data Management: CCB Serving Schedules c. Production Software: Monday, Dropbox, Microsoft Office, Google Drive, Outlook 5. Management and Oversight of Planning Center a. Management of the Team Member Database b. Building of templates used for service coordination c. Updating weekend, mid-week, and special event services with notes from meetings 6. Attending meetings related to Worship/Production objectives, including but not limited to: LIFE Connection events planning, weekly calendaring meetings, service debrief, and creative meetings. 7. Coordination of meals and snacks for Worship & Production events including: Sunday services, Wednesday services, Special Services/Events, and restock of the vending machine in the greenroom. 8. Perform all other administrative duties as needed by the Worship Arts Pastor and Production Director. Requirements Required Skills/Abilities: Administrative Proficiency Administrator Advocate Analytical Thinker Confidant Decision Maker Detail Orientation Self-Starter Time Manager Project/Task Manager Education and Experience: •High School Diploma •One-three years experience in administration roles preferred •Musical/Production knowledge preferred. Physical Requirements: •Prolonged periods of sitting at a desk and working on a computer. •Must be able to lift up to 15 pounds at times. •Must be able to climb stairs regularly for access Production areas Classification: •FLSA Status: part time •Pay Grade: 5 Salary Description
