Summary:

The Fleet Maintenance Administrator supports the Maintenance department’s operations which include support of the company fleet and garage facilities and administrative support of the Maintenance department’s organization, invoicing, and inventory. This role assists with the maintenance software aspects of the Maintenance department.

Essential Duties and Responsibilities:

1. Organize and optimize Crystal Flash’s fleet maintenance software, inputting/ closing out repair orders and adding VMRS codes when necessary.
2. Track repairs, including, but not limited to; internal hours worked, parts used, internal and external truck downtime.
3. Track and help schedule annual DOT, VK, and PM services on Crystal Flash’s fleet equipment.
4. Coordinates repairs and maintenance with mechanics, generates purchase orders for repairs and/or required maintenance as required.
5. Research, order, and understand parts availability and pricing.
6. Perform physical inventory, reconcile system information, track invoices, and perform data entry and auditing to ensure inventory and product information is current.
7. Monitors and tracks parts inventory as needed by type and usage.
8. Receive, process, and approve invoices from outside vendors for all fleet vehicles.
9. Work with the billing department to improve the invoice process.
10. Act as the scheduler and technical point person for Crystal Flash’s truck cameras through Lytx.
11. Act as the point person for Lytx camera troubleshooting, Lytx pre-trip inspections, and transport daily DVIR reports.
12. Works with Safety to coordinate updating DMV registration and current insurance needs.
13. Complete the application and processing of license plates for fleet vehicles with periodic travel to the Secretary of State required.
14. Support department needs by performing other functions to maintain efficient and effective operations.

Education and/or experience:

• High school diploma or equivalent.
• Minimum of 2 years related industry experience.
• Prior maintenance software experience.
• Intermediate to advanced level experience with computers and Microsoft Office, email, internet applications, are required.
• Strong communication, organizational, and interpersonal skills required.
