General Description

JOIN OUR TEAM AS A PROJECT COORDINATOR II!
This position is to assist and provide support for the Library Marketing and Communications team in the coordination and implementation of various work projects in the field including, but not limited to, monitoring and management of communications campaigns and other long term projects, acts as a liaison between field and administrative groups within the department and coordinating Branches.

Essential Job Functions

  • Works within the department to facilitate projects. Analyzes, interprets, and reports on work projects.
  • Facilitates project update meetings and other meetings as needed, by gathering data and creating reports that include project schedule and communicates updates, changes or new project requirements to internal customers.
  • Uses project ticketing system to enter requests and keep record of ticket statuses.
  • Updates written status report on a weekly basis to reflect all marketing projects in the pipeline and ensure completion by scheduled deadlines. Compiles key metrics related to department performance in a comprehensive monthly report.
  • Prepares events lists for marketing team to use for campaign promotions and other external communication reasons.
  • Maintains and organizes work unit files and documents for optimized use between the marketing team and library branches.
  • Maintains accurate inventory of printed promotional material stock. Administers quotes and purchase of orders from professional printing vendors.
  • Accomplishes tasks with quick turnaround and within strict time constraints.
  • Performs other related duties as required and assigned.

Knowledge, Skills and Abilities

  • Must be team oriented and able to work with multiple internal and external departments to accomplish projects.
  • General understanding of marketing and public relations activities and methods.
  • Work is broad in scope, covering one or more complicated areas.
  • Possesses high-degree of analysis and logical reasoning skills to address multi-faceted issues.
  • Ability to properly handle sensitive or confidential information, complex situations, and coordinate multiple functions while attending to additional duties and responsibilities as required.
  • Must possess strong verbal and written communication skills.
  • Ability to create and present ideas and findings clearly and concisely in written, oral, and graphic form.
  • Ability to operate a computer and industry-related software

Minimum Requirements

PHYSICAL SKILLS: Ability to communicate effectively using verbal, written and visual communication.

EDUCATION, TRAINING AND EXPERIENCE: Associate degree from an accredited college or university and two (2) years of project coordination experience, related to marketing and communication ORgraduation from high school or possession of an acceptable equivalency diploma and four (4) years of experience. Secretarial/clerical and typing experience required. Proficiency in software and web-based applications to include: Microsoft Windows, Outlook, Word, Excel, PowerPoint, and project ticketing software, and Canva.

In House Candidates: This position qualifies for DAP.

LICENSES, CERTIFICATIONS OR REGISTRATIONS: Must possess a valid Florida driver's license.
