Job Summary:
The Executive Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and handling of their day-to-day activities. The role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Key Responsibilities:
- Administrative Support: Manage the executive's calendar, schedule meetings, and coordinate travel arrangements. Handle phone calls, emails, and correspondence, ensuring prompt responses and appropriate delegation.
- Meeting Coordination: Prepare agendas, take minutes, and distribute them for executive meetings. Follow up on action items to ensure timely completion.
- Documentation and Reports: Draft, review, and edit documents, presentations, and reports. Maintain accurate records and files, both electronic and physical.
- Project Management: Assist in the planning and execution of special projects. Track project milestones and deliverables.
-Communication Liaison: Act as the primary point of contact between the executive and internal/external stakeholders. Ensure clear and effective communication.
- Office Management: Oversee office operations and procedures. Order office supplies and manage inventory.
- Confidentiality: Handle sensitive information with the utmost confidentiality and discretion.
- Event Planning: Organize and coordinate company events, meetings, and conferences. Handle logistics, invitations, and on-site management.
- Miscellaneous Tasks: Perform other duties as assigned to support the executive team, inclusive of driving CEO to meetings and office and maintaining company vehicle as needed.
Qualifications:
- Education: Bachelor’s degree in business administration, Communications, or a related field preferred.
- Experience: Minimum of 3-5 years of experience as an executive assistant or in a similar administrative role.

- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to multitask and prioritize tasks effectively.

- Ability to work independently and as part of a team.
- High level of professionalism and confidentiality.
