Overview of Role

The EA/Office Manager will play a pivotal role in the business, supporting the CEO and ensuring the efficient operation of the office. You will be highly organized and enjoy formalizing structure and processes to promote efficacy. You will be the go-to person for all administrative tasks and queries, be social media savvy, be Mac literate, and have a keen eye for detail. 

You will be a people person, gregarious, with excellent communication skills. You enjoy responsibility and are ready and eager to dive into tasks, whether they are administrative, practical, or require physical work. Your proactive and enthusiastic attitude toward getting things done and contributing means you easily accomplish the tasks at hand.

Key Responsibilities

Supporting the CEO: 

Providing comprehensive assistance to the CEO, managing their schedule and travel arrangements, organizing meetings, attending meetings and taking notes, following up on meeting outputs, handling correspondence, and assisting with various tasks to support their work.

Office Management: 

Overseeing the office's day-to-day operations, ensuring smooth functioning and that it remains well presented at all times, maintaining supplies, coordinating logistics for meetings or events, and handling administrative tasks.

Process Improvement: 

Formalizing structures and processes to enhance efficiency within the office. Identifying areas for improvement and implementing solutions to streamline workflows.

Administrative Support: Serving as the go-to person for all administrative tasks, managing emails, phone calls, and inquiries. Handling documentation, filing, and maintaining records.

Social Media Management: Having a good grasp of social media platforms and being able to support accordingly.

Tech Proficiency: Being Mac literate, having a good understanding of various software applications, and the ability to troubleshoot basic technical issues.

Attention to Detail: Having a keen eye for detail to ensure accuracy in all administrative tasks, documentation, and communications.

Communication Skills: Strong communication skills to liaise with internal staff, external partners, and clients. This includes written communication for emails, reports, and other documents.

Time Management: Effective prioritisation and time management skills to handle multiple tasks, meet deadlines, and juggle various responsibilities efficiently.

Adaptability and Problem-Solving: Being adaptable and resourceful in handling unexpected situations and resolving issues as they arise.

Sustainability and Green Practices: Implement sustainable practices such as recycling bins, energy-efficient lighting, or eco-friendly initiatives.

Qualifications

  • 3 years of work experience in a similar role
  • Advanced skills with Gmail, Word, Pages, Sheets, Excel, Docs, PowerPoint, and Keynote 
  • Strong verbal and written communication skills
  • Proven ability to manage multiple tasks
  • Ability to handle responsibilities independently 
  • Ability to construct and format presentations
  • Great interpersonal and communication skills
