JOB TITLE

Student Affairs Coordinator - Central Office

JOB GOAL

To provide leadership in the coordination, development and improvement in the areas of student athletics, safety, and transportation.

REPORTS TO

Superintendent

EVALUATION

Job Performance will be evaluated by the Superintendent in accordance with established Board Policies and administrative procedures and guidelines.

Qualifications:

  • Master’s degree or above from an accredited college or university.
  • Valid Alabama certification in administrative/ supervision.
  • Three years of successful teaching experience, required.
  • Three years of successful administrative experience, required.
  • Three years of successful high school athletic administration experience, preferred.
  • Alabama School Bus Driver Certification/Class B CDL with Passenger and School bus endorsement, required to obtain.
  • Must meet suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  • Additional certifications in areas of responsibilities are preferred.

FLSA Status: Exempt

Background Check Required: (Ala. Code §§ 16-22A-5) Upon offer of employment, employees will be required to submit legible fingerprints for a background review by the Alabama Bureau of Investigation and the Federal Bureau of Investigation.

Required Knowledge, Skills, and Abilities:

  • Knowledge in general school administration.
  • Knowledge in school/school system structure.
  • Knowledge in student, school, and school system safety and discipline.
  • Knowledge in pupil transportation.
  • Knowledge in school athletics and the rules and regulations of the Alabama High School Athletic Association.
  • Ability to supervise and evaluate personnel assigned.
  • Skills in problem solving.
  • Ability to communicate effectively in written and verbal forms.
  • Ability to demonstrate effective leadership skills in individual and group settings.
  • Ability to use effective public relations skills necessary for the successful implementation of new programs, the coordination of committees and to maintain productive relationships among colleagues, those supervised and stakeholders.
  • Ability to present to community and stakeholder groups.
  • Proficient with the Microsoft Office suite of programs, Google Docs, and other software to increase job efficiency and effectiveness.
  • Ability and knowledge to be technologically savvy with hardware and software that are used within the district in instruction, finance, student performance, student reporting, and all other programs in the district.
  • Ability to communicate effectively and efficiently via E-mail, social media, and traditional media.
  • Knowledge of board policies and procedures.
  • Physical mobility and visual acuity to visit schools and work sites.

Essential Functions:

  • Provides effective leadership in planning, developing, implementing, and evaluating comprehensive programs in the areas of responsibility.
  • Serves as the Superintendent’s representative in meetings, engagements, programs and other activities when directed.
  • Presents to stakeholder and community groups (progress, programs and achievement).
  • Takes a leadership role in improving education.
  • Serves as the school system Athletic Director.
    • Collaboratively establishes a vision for School System athletic programs that promotes a pursuit of excellence across all sports.
    • Ensures that all sports are in compliance with all AHSAA CCS rules and policies.
    • Coordinates the 7-12 athletic program in collaboration with the principal(s) and coaches to ensure student-athletes are provided the tools necessary to compete at the highest levels.
    • Ensures all documentation relative to coach and student-athlete eligibility is filed properly.
    • Presents to the Superintendent a prioritized 5 year capital improvement plan for athletic facilities.
    • In June of each year present the Superintendent with a full athletic department update to include: financials for each sport, staffing issues, facility and equipment updates and annual assignment of supplements.
    • Prepares a master sports calendar that includes area and non-area games/events.
    • Coordinates gym, building and athletic field use and maintains a district building use calendar.
    • Ensures that adequate security and first responders are provided for all athletic venues.
    • Ensures that emergency action plans for each athletic venue are updated and adequate. These emergency action plans should be reviewed annually with all personnel.
    • Ensures all coaches have successfully completed required in-service programs as required by the AHSAA/CCS.
    • Serves as liaison to all Cullman High School Athletic Booster Clubs.
  • Serves as the school system Transportation Coordinator.
    • Conforms to all state laws and regulations regarding school transportation.
    • Maintains safety standards in conformance with state and insurance regulations and develops a program of preventive maintenance and safety.
    • Recruits, trains and supervises all transportation personnel and makes recommendations on their employment, transfer, promotion and release.
    • Advises superintendent on road hazards for decision on school closings during inclement weather.
    • Collaborates with school system leaders and law enforcement officers on road hazards for decisions on school closings during inclement weather.
    • Assists school principals and other persons responsible for planning special school trips.
    • Develops and administers a transportation program to meet all the requirements of the daily instructional program and extracurricular activities.
    • Formulates the specification to be incorporated in bidding necessary for bus equipment and other materials.
    • Approves alterations to contractual agreements when requested by the special education supervisor and/or principals.
    • Prepares and updates bus schedules for all public schools in the district.
    • Attends appropriate state and local committee and staff meetings.
    • Prepares and administers the transportation budget.
    • Authorizes purchases in accordance with budgetary limitations and district rules.
    • Approves and forwards transportation service invoices to the business office.
    • Maintains all district-owned equipment and develops plans for preventive maintenance.
    • Approves transportation payroll on a monthly basis.
    • Completes and dispatches insurance reports.
    • Submits all reports required by the State Department and the local Superintendent.
    • Acts as liaison between parents and school for complaints and special requests.
    • Provides the purchasing department with contract performance qualification data.
    • Administers the DOT required drug and alcohol testing regulations.
  • Serves as the school system Student and School Safety Coordinator.
    • Coordinate and assist school administration with the online safety platform
    • Coordinate and assist school administration with the implementation of and updates to School Safety Plans
    • Serve on school-based and district-level threat assessment teams
    • Assist school administration with periodic school campus safety checks
    • Assist school administration with traffic flow changes and improvements when needed
    • Assist school administration with school safety tips and updates presentations for school-based employees
    • Assist with completing and implementing any school safety grants
    • Assist school administration with ALSDE compliance monitoring procedures in the area of School Safety
    • Serve as the liaison between the School System and Cullman Police Department
    • Serve as the liaison between the school system and the Alabama State Department of Education.
  • Assists with school system operations when needed.
  • Works with the superintendent regarding all weather events as they relate to potential school closures.
  • Assists the school system Hearing Officer with student discipline due process.
  • Provides mentoring for personnel and students.
  • Serves as the school system liaison with safety, pupil transportation, athletics.
  • Directs assigned personnel.
  • Assists with budget and capital plan preparation and oversight, ensuring coordination with all departments and schools to assure maximum services and maintenance of records/reports/inventories in accordance with policies.
  • Keeps abreast of development in areas of responsibilities, and furnishes leadership in determining their appropriateness for inclusion in the district’s program.
  • Assists the Superintendent with the preparation of the Board’s agenda.
  • Assists with the annual staffing meetings and in determining the personnel needs of schools/worksites in areas of responsibility.
  • Direct the implementation of fiscal policies and procedures related to areas of responsibilities.
  • Assists in selection and placement of personnel, delegates responsibility, and supervises and evaluates staff.
  • Adheres to federal, state, local, and Board rules and regulations.
  • Accepts accountability for student/program achievement and improvement.
  • Takes leave time in accordance with Board policy.
  • Plans and implements a plan for professional growth of staff assigned to areas of responsibilities.
  • Demonstrates effective interpersonal skills.
  • Protects confidentiality of records and information gained as a part of exercising professional duties and uses discretion in sharing such information within legal confines.
  • Ensures compliance with all required ALSDE reporting regarding areas of responsibility.
  • Assumes other reasonable and equitable job-related duties as assigned by the superintendent.
  • This position will be subject to the Students First Act of 2011. Cullman City Schools reserves the right to fill this position by transfer of a qualified applicant who is already employed by Cullman City Schools.
  • Under the Students First Act of 2011, no credit toward tenure or non-probationary status is earned in the initial school year of employment if the date of hire occurs after September 30.

Expected Employment: 240 days (full year)

Salary Range: According to Cullman City Coordinator Salary Schedule (Salary based on employment for complete year)
