Position Profile:

The Executive Assistant provides high-level administrative support to company executives, including calendar maintenance, meeting planning, and handling information requests. The executive assistant also performs clerical functions such as preparing correspondence, receiving visitors, and document routing. The role also manages travel arrangements for all employees. 

Work Responsibilities:

CEO and Executive Support

  • Manages the CEO’s calendar and meeting schedule.
  • Is the primary point of contact for the office of the CEO. Answers all incoming phone calls for CEO, routing and messaging as necessary.
  • Serves as the primary organizer of CEO meetings and other companywide meetings/events.
  • Reviews incoming correspondence and documents, distributing and collecting signatures as appropriate.
  • Manages all incoming expense reports to be approved by the CEO, reconciles statements and receipts, prepares for CEO signature.
  • Sets up conference rooms for executive meetings, provide food, beverage as requested. Restore conference room to orderly state following any meetings.
  • Manages travel arrangements for all company employees.
  • Provides general administrative support to company executives.

General Responsibilities:

  • Supports CURiO Cornerstones and strives for individual leadership by using cornerstone behaviors in the workplace and in daily decision making.
  • Follows all policies and procedures of the company. Works cooperatively with all departments, maintaining a positive work atmosphere by acting and communicating in a manner that promotes cooperation with co-workers, supervisors, and managers.
  • Actively seek individual development through taking advantage of opportunities for skill enhancement. l Keep up to date with the latest best practices, trends, concepts, and regulations in the specific job area.
  • Manage time effectively, meet personal goals and work effectively with other members of the team to meet CURiO goals.
  • Follows all safety guidelines and polices. Makes supervisor/manager immediately aware of any observed safety issue. Keeps work area clean, safe, and organized.

Position requires extended work hours as necessary to meet seasonal deadlines. Performs other work as assigned.

Minimum Qualifications

  • Associate degree or equivalent years of relevant experience
  • Four years’ experience in administrative support of executive level functions

Computer and/or software qualifications:

  • Basic level of proficiency in Microsoft Word and Outlook

  • Ability to maintain and protect company confidential/proprietary information.
  • Excellent communicate skills, both verbal and written
  • Demonstrated ability to work independently
  • Excellent time management skills, with the ability to manage to and meet strict deadlines
  • Ability to work effectively in a fast paced, flexible environment
  • Ability to work in a cross functional, collaborative environment
  • High attention to detail and accuracy

Travel Requirement: less than 5%

Office Working Environment and Physical Demands:

  • General office environment: Works at a desk in a well-lit, air-conditioned cubicle/office/home office, with moderate noise levels. 
  • Ability to sit for hours at a time, viewing computer monitor on a constant basis. Some walking and standing relative to interaction with other personnel. 
  • Occasionally required to lift and/or move items weighing 10 – 15 pounds. 
  • When in a facility, occasional exposure to dusty and fragrant conditions, varying temperature levels, work near moving mechanical parts, and high noise environments is possible.
