We are located in Wauwatosa, WI 53222 - Must be able to reliably commute or planning to relocate before starting work

Desired Skills and Experience:

  • 2 years of experience within a sales coordinator, installation coordinator or service coordination/dispatching role, preferably with a mechanical contracting company

  • Pass a criminal background check and drug screening

  • Valid driver’s license

The Big Task:
● Strong Communication: Ability to communicate effectively with the sales team, installation teams, clients, and internal departments.
● Organizational Competencies: Capability to manage multiple tasks and deadlines, prioritize workload, and keep track of details.
● Technical Knowledge: Proficiency in using CRM systems (Service Titan preferred), MS Office, email, and online platforms (Generac - PowerPlay and more).

● Interpersonal Abilities: Skill to build and maintain relationships, negotiate, and resolve conflicts.
● Problem-Solving: Capacity to identify issues, analyze situations, and develop solutions.
● Decision-Making: Ability to make timely and informed decisions to support sales initiatives, installation deadlines and all other supporting tasks.

● Customer-Oriented Mindset: Focus on meeting customer needs and delivering exceptional service.
● Positive Attitude: Maintain a positive outlook and approach challenges with enthusiasm.
● Team Spirit: Collaborate effectively with colleagues and demonstrate a willingness to support the teams goals.
○ Achieve individual and company goals by assisting in keeping the department running in an efficient and profitable manner, to increase customer and technician satisfaction, loyalty and retention!

Key Sub Tasks / Qualifications
● Sales Lead Coordination: Process all Solar and Generator Department inbound leads, by qualifying the lead and assigning to the appropriate sales team.
○ Coordinate and schedule sales assessments for the Solar, Generator and Installation & Remodeling Departments.

● Project / Installation Coordination: Coordinate and schedule Generator and the Install & Remodel Departments installation projects, ensuring timely completion and adherence to project timelines.
○ Collaborate with project managers and technicians to allocate resources effectively and optimize project workflows.
○ Monitor project progress, identify potential risks or delays, and implement mitigation strategies to ensure project success.
○ Maintain clear communication channels with all stakeholders to provide project updates, address concerns, and resolve issues promptly.

● Resource Management: Manage and coordinate the allocation of resources, including manpower, equipment, and materials, to support the requirements of the Generator Installation, Generator Service and Install Remodel departments.
○ Coordinate with procurement and logistics teams to ensure timely delivery of materials and equipment to project sites.

● Documentation and Reporting: Maintain accurate project documentation, including schedules, work orders, change orders, and project files.
○ Process all necessary permitting needs for the Generator, Service and Install & Remodel departments, to include gas metering upgrade submittals.
○ Navigate notification and scheduling of all post installation inspection requirements, to include correction of deficiencies if necessary.
○ Prepare regular progress reports, project status updates, and cost analysis reports for management and clients.
○ Document and address any project deviations, issues, or changes, and communicate them to relevant stakeholders.

● Client Communication and Satisfaction: Serve as the primary point of contact for clients regarding project updates, inquiries, and issues.
○ Coordinate and schedule all monthly recurring maintenance appointments with clientele.
○ Foster positive relationships with clients by providing excellent customer care.

Annual salary, commensurate with experience ($50,000 - $60,000)
