D'Youville University is Hiring a School of Nursing - Administrative Assistant for Graduate Programs Near Buffalo, NY

General Statement of Duties
Provide secretarial services for the Graduate Directors and faculty in the School of Nursing. Answer phones, screen calls, set appointments, deliver, pick up and open mail and maintain files of the Graduate Program. Type graduate program correspondence. The position supports the Graduate Masters and DNP Programs. This position also supports the School of Nursing in matters related to the Graduate and DNP programs. The Graduate Programs Secretary reports to the Associate Dean for Graduate Programs for the School of Nursing.
Distinguishing Features of the Position
  • Maintenance and Coordination of the Graduate Program Office serving faculty and students in the graduate program.
Examples of Duties (illustrative only)
  • Receive & screen telephone calls and visitors to the School of Nursing.
  • Pick up incoming mail, open and sort; deliver mail to faculty mailboxes.
  • Answer routine inquiries and route technical inquiries to proper persons.
  • Handle faculty requests and type references.
  • Prepare and maintain calendars for appointments for Graduate Program Directors.
  • Type letters, reports, and create forms as requested.
  • Type graduate correspondence and administrative correspondence to offices on and off campus
  • Handle maintenance requests.
  • Type minutes of Graduate Programs meetings.
  • Compose routine memos and letters.
  • Copy, and when necessary, distribute, and post information to Graduate Forum.
  • Type materials such as minutes, reports etc. for the Graduate Programs
  • Maintain database for end of semester Progression Retention.
  • Maintain database for graduate projects and theses.
  • Maintain database of graduate applications and coordinate with graduate admissions office
  • Prepare documentation for former students regarding course descriptions, course content, etc.
  • Coordinate events as requested.
  • Distribute information from recruiters to nursing students via email and posting to Graduate Forum.
Required Knowledge, Skills and Abilities
  • Proficient in Microsoft Office suite. Exemplary phone skills, receptionist's skills, typing accuracy and speed, high level written and oral communication skills
  • Uses knowledge of the graduate programs to anticipate needs and provide support
  • Able to interact and establish good interpersonal relationships with faculty, students, staff and the public
  • Respond in a timely courteous and professional manner
Acceptable Training and Experience
  • Associate's degree along with two years of secretarial, computer and office experience or the equivalent combination of school and experience

Pay: $36,000.00 - $41,000.00 per year
