ACCOUNTS PAYABLE/PAYROLL ADMINISTRATOR

Dairy One is seeking a detail-oriented and dedicated Accounts Payable/Payroll Administratorto join our finance team. The Accounts Payable/Payroll Administratorwill be responsible for efficiently managing the payable processes and payroll, ensuring accuracy, and contributing to the organization's financial health.

Responsibilities/Job Duties:

Accounts Payable:

  • Manage the full cycle of accounts payable operations, including accurately processing invoices, verifying coding, approvals, and timely payments.
  • Interact with vendors and suppliers regarding invoice inquiries, discrepancies, and payment-related matters in a professional and timely manner.
  • Reconcile vendor statements and resolve discrepancies to ensure accurate reporting and maintain positive vendor relationships.
  • Prepare and process payments, including checks, ACH, and wire transfers, adhering to payment schedules.
  • Prepare 1099 forms.
  • Maintain organized and up-to-date records of invoices, payments, and related documentation for auditing and reporting purposes.
  • Ensure compliance with company policies and accounting principles in all accounts payable processes.
  • Identify opportunities for streamlining accounts payable processes, implementing best practices, and improving efficiency.

Payroll Processing:

  • Process semi-monthly and bi-weekly payrolls in Paycom, maintain records and reports, oversee timesheet maintenance, and ensure accurate recordkeeping.
  • Review and monitor payroll taxes, comply with wage garnishments, and be the point of contact for time and attendance inquiries.
  • Process expense reports with payroll, manage 401K, HSA, FSA, and benefit deductions with vendors, and assist with external audits related to payroll and benefits.
  • Work closely with Human Resources on items that impact payroll processing such as leave of absence, new hires, position changes, salary changes, investigating issues, etc.
  • Respond to requests for payroll related information from external entities, such as employment and payroll verifications.
  • Issue W2's to all employees in compliance with federal and state regulations.
  • Provide excellent customer service to employees.
  • Identify opportunities to improve payroll processes.

General Accounting

  • Create and enter journal entries.
  • Maintain, reconcile, and analyze general ledger accounts.
  • Maintain and update vehicle and equipment lease agreements in the lease management software.
  • Assist in fixed asset management.
  • Assists Controller in month-end closing process.
  • Assist in internal/external audits.
  • Assist with Finance Office functions as needed.
  • Perform other duties as assigned.

Job Type: Full-time

Pay: $50,000.00 - $60,000 per year

Qualifications

  • Minimum of an associate’s degree from a two-year college with a major in Accounting or Business Administration. Bachelor’s degree preferred.
  • 3 years related experience and/or training or equivalent combination of education and experience.
  • Proficiency in accounting software and payroll software. Experience with Microsoft Dynamics GP and Paycom preferred.
  • Knowledge of Microsoft Excel, Word, and PowerPoint.
  • Strong analytical and problem-solving skills with a keen eye for data entry and reconciliation accuracy.
  • Excellent interpersonal and communication skills to interact effectively with vendors, internal stakeholders, and team members.
  • Ability to manage multiple priorities, meet deadlines, and maintain meticulous records.
  • High level of professionalism and confidentiality.
  • Self-motivated, positive attitude with energy and willingness to learn.
  • Proactive to identify and resolve problems.
  • Ability to work both independently and in a team environment.
