Role Description: This role manages operational lifecycle management in the Contracting and overall end-to-end Procure to Pay function. Responsibilities in this position will include the management of offshore resources in the contracting process, reviewing contracts, working closely with legal to ensure contract compliance, ensuring the efficiency and compliance of the Ariba contracts platform. Additional responsibilities include, but not limited to, supporting continued process improvements which will drive efficiency and productivity for the organization. This individual will be a key resource in training business partners, managing escalations and partnering with business colleagues to ensure strategic spending is completed timely while also delivering a customer service focused framework. monitoring service level agreements (SLAs) through effective management of key performance indicators (KPIs) and other key metrics. The candidate will be responsible for the management and performance of the following:
Responsible for Ariba Contracts compliance
Work closely with the Legal team to ensure proper contracts framework and workflow structure in Ariba
Reviews agreements for language in accordance with the agreed upon legal matrix
Maintains the integrity of contract hierarchies in Ariba
Coordinate with representatives from other departments and suppliers to ensure timely and accurate delivery of MSAs and subagreements
Provide leading practices and guidance on contracting process and best use of Ariba module
Coordinate with Ariba administrator and Ariba support for implementation of enhancements
Acts as a point of escalation and liaising with offshore operations team across Procure-to-Pay functions and stakeholders
Provide end-user Ariba system support
Manipulate large data sets and chart results
Analyze trends and liaise with procurement and process teams to ensure that optimal use is made of the P2P platform as it relates to suppliers
Participates in the organization and facilitation of trainings, training documentation, WebEx and conference calls as needed
Improve the overall Ariba user experience through being the point person for training, change management and problem resolution
In this role you will:
Plan, organize and coordinate the Ariba contracts process timely;
Establish policies and procedures in compliance with best practices;
Participate in improvement efforts in processes/procedures to increase efficiencies while still ensuring accuracy/timeliness of on-going information required by stakeholders;
Work to reduce cycle times and understand bottlenecks;
Perform other duties as required or assigned which are reasonably within the scope of the activities enumerated above. Gather and support master data cleansing and updating
Become familiar with end to end process and assist with UAT when needed
Assist with documenting internal, procurement processes and reviewing operational SOPs
Engage and educate business owners;
Interact with Senior Leadership;
Focus on process excellence and data quality.
Support both internal and external auditors;
Work closely with internal controls to ensure J-SOX compliance
Qualifications/ Required
Bachelor's Degree is required
Minimum 5 years of experience with one or more of the following: Contracts Management and Review, Contracts Paralegal experience, Contracts Negotiation
Exhibit deep knowledge and interpretation of contracts language
Ability to make quality business decisions and action those decisions
Experience with SAP ARIBA and with a large ERP is required, preferably SAP
Ability to clearly and accurately define problems by collecting data and facts and the ability to develop solutions to those problems
Understanding of emerging financial technologies, tools and products is required
Experience in successfully communicating complex technical concepts, processes and procedures to all levels of audiences from senior management to end-users
Strong management skills, strong communication skills and ability to proactively monitor customer satisfaction and the quality of the services provided
Advanced Excel skills is required
Ability to Multitask, excellent organizational, analytical, and problem-solving skills
Excellent interpersonal and communication skills
