Administrative Assistant

We are seeking an Administrative Assistant to support our Project Management team with at least 3 years’ experience in an office environment. Excellent communication, organizational and writing skills are required. The Administrative Assistant role is instrumental to Daly Computers’ success. The Administrative Assistant position requires the ability to accomplish a variety of tasks and responsibilities. This position will report directly to the Engineering Manager and also assist the Project Coordinator and other staff members to create comprehensive action plans around, budgets, resources and timeframes for projects. This individual will support the Project Management team in all areas of projects such as performing various coordinating duties to include scheduling and resource management.
Duties & Responsibilities:
· Communicate with customers, vendors and other departments regarding project timelines and equipment ETAs.
· Participate in mandatory and elective team meetings to include project design meetings.
· Document meeting notes and track follow on action items.
· Help manage team goals, project schedules and new information.
· Evaluate potential problems and technical snags and recommend solutions.
· Assist with project coordination for all team members to keep on task.
· Create and review reports and ensure all essential materials are current, properly filed and archived.
· Assist with preparing and reviewing project proposals, memos, meeting notes and emails.
· Support team efforts with customers to define project objectives, requirements and scopes of work.
· Prepare and submit documentation for milestone invoicing and payments.
· Understand internal formal escalation and review processes.
· Perform status updates for internal projects.
· Coordinate and schedule meetings.
· Acquire high level knowledge of new technologies and solutions.
· Support the Engineering Manager by managing training requirements and deadlines for the team.
· Other duties as assigned.
Skills & Qualifications:
· Relevant fields of study include but not limited to:
o IT Engineering background/experience, but not required.
o AA Business degree or equivalent work experience preferred.
· Resource management experience.
· Business administration experience.
· Time management skills with the ability to meet deadlines.
· Great organizational and multi-tasking skills and abilities.
· Excellent communication and interpersonal skills.
· Superb analytical and problem-solving abilities, skills and experience.
· Experience with relationship building.
