Strategic Responsibility:
The Office Manager will serve the ministry by managing the day-to-day operations and office support activities of Integrity Music. This person will act as a primary point of internal and external contact representing Integrity Music in a professional manner as well as assist the Sr. Director, Human Resources with special projects, and some administrative support where assigned. Additionally, this role will have responsibilities in security, facilities, and reception.
Job Description:
Anticipate and resolve matters of a routine nature to conserve the Integrity Music Leadership’s time as well as consistently demonstrating initiative, independent thinking, flexibility, and professional confidence.
Proactively manages meeting arrangements and logistics (such as new hire orientations) and details by reserving rooms, equipment, meals/snacks, etc. Coordinate and prepare agendas and documents for meetings, including the assembling of on-boarding packets and assisting new employees with training and paperwork.
Gather and maintain accurate departmental employee information working in conjunction with HR (i.e., org charts, etc.).
Develops, implements, and oversees processes, standards, and procedures that anticipate, guide, and ensure the efficient and cost-effective operations of the office to ensure that the day-to-day aligns with organizational objectives, while making necessary changes along the way.
General building security, facilities, and reception tasks, including kitchen and public area upkeep, storage unit organization and inventory, receiving company mail, coordinating biweekly staff lunches.
Prioritizes how interactions directly impact and represent Integrity Music to various public groups including local community leaders, state and federal government leaders, professional contacts, and partner organizations. Maintain necessary list of vendors and business contacts that can influence the organization's ultimate mission.
Manage from start to finish the purchasing, maintenance, and repair of office supplies and equipment, caring for bills, monitoring department expenses, fostering a clean and safe work environment, ordering supplies and furniture, documenting company memberships, and serve as a liaison to David C Cook headquarters in Colorado Springs, CO.
Protect culture and operations by keeping information confidential, discerning the escalation of information to appropriate parties.
Assist with facilities access (possibly after hours) and event planning for Nashville office, including staff meetings, GEMs, and Town Halls. Review and analyze special projects and keep the management properly informed.
Provide administrative support to the Sr. Director, Human Resources when and where assigned. Assist in special projects as assigned.
Perform other job-related duties as assigned.
Position Requirements:
Formal Education: Associate’s Degree required. Bachelor’s Degree in Business Administration, Communications, or related field preferred.
Experience: Minimum 3 years in administrative position with experience performing similar duties, including managing and maintaining confidential information and coordinating small to medium-sized projects. Experience supporting executive leadership and exposure to Christian Worship Music industry strongly preferred. Security and facilities experience preferred but not required.
Specialized Knowledge/Certification: Must have exceptional attention to detail and ability to handle multiple competing priorities with grace. Strong organizational and time management skills. Excellent communication and interpersonal skills.
Equipment Knowledge: Well-developed, highly proficient skills with a PC or Mac Operating system and Microsoft Office Suite, including PowerPoint. Comfortable with changing business technology, i.e., Zoom, Teams, Outlook.
