About The RoleWe're looking for somebody to be the right hand to the CEO and to support and empower the wider senior leadership team. You will utilise your understanding of the business to effectively prioritise, shape our administrative processes, liaise with stakeholders, and help ensure Dayshape's goals are achieved. This will include driving recruitment where the CEO is the hiring manager.
As a scaling company we need additional support in making sure things are running smoothly - that's where you come in.
What you'll do:
  • Manage emails and diaries for the executive team
  • Prepare internal and external meeting agendas, conduct research for meetings, and take minutes
  • Provide further support to the Board, including preparation of monthly Board papers, and following up on actions
  • Support ad-hoc project work including preparation of briefing materials, slide decks, and reports for the CEO as required
  • Manage business travel arrangements through TravelPerk, including flights, transportation, and accommodation, with responsibility for the travel budget
  • Manage expenses through Payhawk, liaising with the Finance team where needed
  • Partner with the People Operations team on talent acquisition activities where the CEO is hiring manager, including scheduling interviews and assisting with CV and phone screening when required
  • Collaborate with other members of the team to ensure our internal knowledge base (Confluence) is kept up to date
  • Manage administrative duties for the CEO including assisting with the preparation of commercial documentation and contracts
About you:
  • Minimum of 2 years' experience in an EA/PA role, ideally supporting the CEO
  • Experience working with stakeholders across all levels of the company and external stakeholders, such as investors
  • Experience supporting or leading recruitment
  • Excellent written and verbal communication skills, and the ability to produce high quality written work independently
  • A bias for action, with demonstrable experience proactively taking initiative to improve systems and processes
  • Adaptable and able to prioritise effectively in a fast-paced environment
  • Highly organised and detail-oriented (you almost never miss something!)
  • Strong time management and the ability to organise and coordinate multiple projects at once
  • Proficient with Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
Bonus points if you have:
  • Experience in a startup or scaleup environment
  • Experience working for a software company
  • Company secretarial experience
  • Experience overseeing budgets and expenses
  • Experience developing and communicating internal policies and new procedures

  • Salary £35,000 - £40,000 dependent on experience

Working Details This is a full-time role (37.5 hours per week). We typically work from 09:00 - 17:30 from Monday to Friday, though we can be flexible around this, just let us know.
We're looking for someone in/around Edinburgh; you won't need to be in our central Edinburgh office every day but will need to come in at least 2-3 days a week in line with Matt, our CEO.
