DC Special Education Cooperative is Hiring a Program Assistant Near Washington, DC

Program Assistant - Job Description

Position Summary
Reporting to the Deputy Director, the Program Assistant will provide administrative support for Co-op programs and events. The Program Assistant will work closely with all of the Co-op’s staff, playing a key role in ensuring smooth operations of day-to-day program activities and special events, through communication with staff at Co-op member schools, managing logistics and materials, and data collection, documentation, and reporting. This is a full time position based in a hybrid (remote/in-person) office in Washington, DC and occasionally on-site at DC charter schools.

Qualifications:

  • Personal qualities of integrity and commitment to the mission of the Co-op
  • A self-starter, self-driven, able to work independently and collaboratively, manage multiple concurrent projects, set priorities, meet assigned deadlines
  • Exceptional organizational skills and use of collaborative platforms (ex. Google sheets, Asana) to independently communicate status and completion of assigned tasks
  • Flexible and creative problem solver
  • Proficient in MS Excel & Google Suite
  • Experience entering and organizing data (experience using Salesforce a plus)
  • Ability to quickly understand and adopt new technologies
  • Excellent attention to detail
  • Excellent written and verbal communication skills
  • Strong interpersonal and communication skills including the capacity to effectively communicate and create rapport with people from diverse backgrounds.
  • Ability to work occasional early morning, evening and/or Saturday hours
  • Experience with event planning or event management a plus
  • School-based experience in special education and/or working with children or adults with disabilities a plus

Essential Responsibilities:

Data Management

  • Supports Co-op member schools’ engagement with the organization’s programs and services by monitoring and maintaining member access to Co-op resources (website, discussion groups, online resources, newsletters, etc.)
  • Uses the organization’s CRM and other data systems to manage membership and program data: gathers data from multiple sources; enters and updates data to ensure accuracy; uses Google sheets and MS Excel to organize and format data for reports
  • Supports internal compliance processes for the Co-op’s Nonpublic Management Program including; updating and maintaining student rosters and document logs; completing forms and documentation from templates; and uploading documents into various data systems.

Communications

  • Updates member & program documents; drafts member newsletters and other external member communications
  • Responds to program inquiries and requests from school-based staff using provided guidance and resources
  • Follows-up with school-based staff and other stakeholders on upcoming due dates and deadlines

Administrative support for programs and events

  • Schedules meetings with various stakeholders (school staff, families, partner organizations) and maintains program calendars
  • Researches venues and vendors; serves as point of contact for vendors at events
  • Orders and prepares materials; tracks spending for grant-funded programs; uploads receipts
  • Attends and assists with registration and setup for both in-person and virtual Co-op events
  • Maintains and organizes inventory of office and program materials and supplies

Performs any other duties that may be assigned by the Deputy Director in the best interest of the Co-op

Salary range: $50,000 - $60,000 commensurate with experience
