Summary:
Assist the office manager, project manager, shop manager and other office personnel as needed. Perform various clerical tasks and other administrative tasks relating to company needs and project needs to keep the office and day to day operations running as efficiently as possible. This position will involve office work and occasional travel with direct supervision.
Duties Include:
Answer and direct phone calls and provide basic company information if requested
Greeting clients and visitors as needed
Perform clerical duties including but not limited to maintaining files, organizing documents, printing, copying, faxing, creating meeting minutes etc.
Accurately type documents, letters, reports, spreadsheets, etc.
Accurately perform data entry into payroll and accounting software
Accurately and timely perform PA 1 Calls
Accurately and timely acquire heavy hauling permits from PENNDOT
Prepare and communicate accurate driving directions to job locations
Solicit quotes for projects and shop materials
Help prepare, compile and update documents for projects to be bid and awarded projects
Organize travel by booking accommodations and reservations as required
Assist with travel and expense documents
Assist with payroll as needed including the organization and recording of time sheets
Assist with accounting system data entry
Deliver completed bids to the appropriate place by the required time
Run errands as needed
Update staff calendars
Monitor office supplies and purchase supplies as needed
Generally keep the office clean and organized
Perform additional assignments per supervisor’s direction
Knowledge of:
Office equipment including printers, fax machines and copiers
Office software including Microsoft Word and Microsoft Excel
Ability to:
Type quickly and proficiently
Communicate effectively
Work longer hours as needed
Learn and actively expand your role in the company
Work in an office environment
Lift 50 pounds
Qualifications:
Must be able to pass a pre-employment drug test and random drug tests once employed
Valid driver's license for state in which you reside, with a good driving record
Must reside within 30 minutes of travel time to Smethport, PA, or farther if willing to travel everyday.
Strong computer skills
Excellent written and oral communication skills
Excellent organizational and time management skills
Education:
High School graduate preferred
Post high school education in office management or business administration related field a plus
Experience:
Payroll Experience a plus
