We are seeking a full-time, energetic Tax Administrative Assistant in our Frederick, MD office to support our Tax department. This position is pivotal in maintaining efficient workflows, ensuring high-level customer service (both internal and external), and supervising administrative staff. Attention to detail is crucial for meeting deadlines and fulfilling our clients' needs
Responsibilities:
• Oversee the processing of incoming tax documents, client delivery, and accurate project status updates.
• Coordinate with the Operational Support team to manage the scanning, collation, and assembly of tax packages, as well as prepare various mailings.
• Handle external and internal document processing, including tax return assembly, administrative review, and preparation of highly confidential documents (e.g., tax returns, client proposals).
• Maintain electronic documents, tax returns, and client files.
• Ensure timely and efficient delivery of client documents, both electronically through our secure portals and via standard mail/shipping.
• Provide high-level customer service to both internal and external clients.
• Offer administrative support for multiple engagements and the office team.
• Occasionally back up various roles within the Operational Support team and perform other administrative duties as assigned.
• Help supervise, train and provide guidance to junior administrative staff.
Requirements:
Experience: Minimum 1-2 years of prior office administrative experience.
Experience handling confidential and sensitive information.
Skills:
• Strong communication skills (both written and verbal).
• Proficiency in Microsoft Office (Word, Excel, Outlook) and Adobe. Quick learner for new applications.
• Exceptional customer service and problem-solving skills, and sense of urgency
• Ability to manage multiple tasks with a high degree of accuracy and prioritize appropriately.
• Capacity to work independently in a fast-paced environment while maintaining a high level of attention to detail.
• Ability to work under pressure to meet deadlines and client deliverables.
• Excellent organizational and analytical skills.
• Professionalism and a positive attitude at all times while representing the firm.
Other Requirements:
Ability to perform administrative duties with speed and accuracy without immediate and constant supervision.
Must be available to work flexible hours, including some evenings and Saturdays during busy seasons (January-April; September-October) to support the team, meet deadlines, and fulfill client deliverables.
