Delica North America is Hiring a Customer Service Specialist (Cosmetic Ingredients) Near Mahwah, NJ

Reports to: Operations Manager Department: Operations
Pay range: $40.00-$48.00 per hour
The Customer Service Specialist supports Mibelle Biochemistry’s day-to-day operations and plays a pivotal role in ensuring seamless operations by managing sales processes, coordinating logistics, and providing exceptional customer service. This is an on-site position that oversees order processing, inventory management, and transportation logistics, and ensures that customer orders are processed efficiently, accurately, and promptly.

Essential FunctionsReasonable accommodation will be made to enable individuals with disabilities to perform the below essential functions.
  • Purchase Order Administration
    • Handle incoming cosmetic orders accurately and efficiently
    • Enter orders into the Order Processing System and check for accuracy and pricing. Ensure receipt of correct invoices and request revised purchase orders from customers as needed via the appropriate customer portal.
  • Inventory Management
    • Oversee and track stock levels and developments
  • Logistics Management
    • Coordinate transportation and delivery logistics and invoice customers when orders ship
    • Address and unravel complex logistic challenges as they emerge.
  • Sales Administration
    • Generate sales reports and analyze data to identify trends
    • Coordinate sales promotions and marketing activities
    • Collaborate with sales representatives to ensure customer satisfaction
    • Support the sales team with administrative tasks
    • Assist with sales forecasting and planning initiatives
  • Accounts Payable
    • Review accounts payable register for accuracy, enhance company budgets and enforce financial policies and processes
    • Ensure payment credits are applied correctly and correspond with vendors regarding billing and payments
  • Accounts Receivable
    • Maintain detailed records by following up with customers on outstanding invoices while providing excellent customer service to resolve inquiries or issues.
    • Prepare reports to track customer interactions and invoice statuses
  • Other Duties
    • Communicate effectively with internal teams and external partners to maintain Relationships
    • Ensure compliance with relevant regulations and standards.
    • Manage the warehouse safety program
    • Supervise and serve as backup for the Warehouse Attendant (This includes, but is not limited to, physically assisting with lifting, packaging, and shipping packages, as needed)
    • Support and serve as backup for the Operations Coordinator
    • Additional duties as needed
Required Education And Experience
  • Bachelor’s Degree in Business, Marketing, and Sales, or commensurate experience in a related field required;
  • 5 years of experience in Sales Administration;
  • 1 years of experience in inventory management and supply chain logistics
Additional Eligibility Qualifications
  • Demonstrated knowledge of business and sales management
  • Cosmetic ingredients industry experience is strongly preferred
  • Experience with ERP systems and processes. SAP experience is strongly preferred
  • Must be able to pass a pre-employment background check and drug screen
  • Must be legally authorized to work in the US
  • Must be willing and able to work on-site at our office and warehouse in Mahwah, NJ
