Position Summary Information
Responsibilities
The Director of Production at the Bologna Performing Arts Center is a multi-faceted position that is responsible for all coordination, contractual, and administrative needs to prepare and execute productions, events/rentals, and summer MSAI camps at the center. The Director of Production is to maintain the BPAC master calendar so that all events and programs are completed properly and timely. The Director of Programming works closely with all staff members, artists, agents, and other departments for daily operations to run smoothly.
1. Oversees Contract Administration and Contract Execution
a. Oversees contract administration and contract execution for artists’ agreements for all performances.
b. Suggest amendments to the artist rider to reduce BPAC expenses.
c. Works with BPAC technical staff to prepare expense estimations for hospitality, tech, and production before contract execution.
d. Suggests hotel, travel, and meal buyouts when appropriate.
e. Provides strong suggestions for artist riders.
f. Working closely with the Executive Director to maintain the general operating budget.
2. Maintains and Oversees the Bologna Performing Arts Center Calendar
a. Including the main stage, recital hall, sculpture garden, DSU programs, rental events, etc.
b. Consult with other campus departments and other clients requesting the use of the Bologna Performing Arts Center’s theater and other spaces.
c. Maintains, executes, and distributes User Agreements for reservations of space.
d. Assess client needs to prepare adequate production and technical staff.
e. Plan adequate work days on the calendar for theater work and schedule accordingly.
f. Requires working closely with the Executive Director and Technical Director for coordination, and scheduling production meetings when necessary for any technical needs or production cost spreadsheets.
g. Client invoicing as needed.
3. Maintains and Oversees Summer Camp for local students
a. Plans for Camps for local student such as CORE Arts and PLUS Camp
i. Planning for dates, resources, and collaboration on events
ii. Work in conjunction with the Director of Marketing to create marketing materials and recruiting students.
iii. Working closely with the Executive Director to maintain the budget.
iv. Coordinate summer programming for students.
v. Work with other staff member to host event
4. Artists and Guests Experience Liaison
a. Handles the purchasing and acquiring of all hospitality and other needs: including transportation and accommodations of visiting artists, performers, and crew.
i. Makes sure visiting artist needs are met per contractual agreements.
b. Set up and Clean-up of hospitality needs for crew breaks and Artists Green Room.
i. Including laundering of table cloths, towels and folding.
c. Patrons Lounge Guests Experience
i. Set up and Clean-up of the menu items and maintaining the inventory needs for donors at mainstage events.
d. Assist the Executive Director and Director of Marketing with annual Patrons Party event.
5. Monthly Timesheet Processing and Statements
a. Monthly online entry of timesheets for full & part-time employees; including bi-weekly or student workers.
i. Processing hiring paperwork and timesheets for the work-study program needed each semester. b. Managing Full-time staff employees’ personal leave, major medical leave, and compensatory time reports. (Approved by Executive Director)
c. Monthly purchasing card statement submission
i. Maintains purchase orders and requisitions needed for mainstage performances, camps, supplies, hospitality needs.
ii. Working closely with the Technical Director for any additional crew, rentals, etc. needed for lighting/stage needs, or meal tickets for visiting crews.
Qualifications
a. Formal Training
Paralegal, Public Relations, Basic Bookkeeping, performance related activities in a public theater environment.
b. Years of Experience
Clerical Duties, Knowledge of Contract Execution, overall knowledge of stage and stage related activities and lingo. Computer Experience, Public Relations Skills. Ability to communicate and work well with others as a team. Three to Five Years of job experience would be needed to perform this job at a competent level.
c. Special Skills/Application of Knowledge
Detail oriented, able to solve problems, independent work and judgements, proficient at word processing, data entry, budgeting, marketing, basic bookkeeping skills, time-management, familiar with all aspects of production, communicate effectively with others, highly organized, ability to work well under pressure. High level of collaboration is required for this position.
Salary
Commensurate with experience, qualifications, and university’s resources.

Physical Demands
Must be able to stand for long periods of time for performances/events. Able to lift heavy objects when dealing with hospitality needs. Able to walk while out in the market purchasing hospitality needs for performances. Able to walk up and down stairs and throughout the building multiple times a day.
Must be able to hear audible queues during performances. Must be able to work in a loud and noisy environment.
Additional Information
Requires a high level of concentration and high level of attention intermittently. Generally, the approach to tasks may be consistent, but the number of steps required and/or the number of variables involved.
