Primary Purpose:
Oversees the administration, planning, coordination, and operation of the instructional materials department.
Qualifications:
Education and Certification
- Associate’s degree from an accredited institution
- Bachelor’s degree from an accredited institution (preferred)
Experience
- Two (2) years of management experience
- Two (2) years of supply & inventory management experience
- Two (2) years of budget management experience
Special Knowledge and Skills
- Knowledge and understanding of local and state guidelines regarding the management of instructional materials (preferred)
- Experience with inventory management software programs (preferred)
- Ability to operate large box truck
- Strong computer skills with Microsoft Office and other office machines
- Strong interpersonal skills in dealing with staff members and district leaders
- Strong organizational and attention to detail skills and accuracy in work
- Ability to manage a team and work as a team member
- Excellent written, interpersonal, and oral communication skills
- Ability to work well under pressure and meet deadlines
- Valid driver’s license with a good record
- Ability to lift 50-pound cases of books alone or with the assistance of another worker
Major Responsibilities and Duties:
- Serves as district instructional materials coordinator in managing all instructional materials activity within the district, the Texas Education Agency and with vendors.
- Provides training and support to campuses using the textbook database software.
- Ensures the accuracy and integrity of instructional materials information using inventory management software.
- Works with departments, campuses, and district personnel to facilitate the district’s instructional materials adoption process and instructional material purchases.
- Communicates with vendors to facilitate the ordering of instructional materials.
- Collaborates with departments, campuses and district level personnel to ensure district and state policies and procedures are followed in the acquisition, processing, storage, disbursement, and inventory of instructional materials.
- Effectively communicates with all departments, campuses, district level personnel, and vendors to ensure campuses have necessary instructional materials.
- Facilitates receipt of instructional and related materials; maintains inventory levels for grades K-12 to ensure adequate supply and availability.
- Holds campuses accountable for books based on inventory and accurate enrollment.
- Supervises, coordinates, and processes campus delivery of student and teacher instructional materials and resources.
- Responds to inquiries to provide information and/or resolve issues; communicates with district personnel and/or vendors regarding order status.
- Manages the distribution of summer staff development materials and summer school instructional materials.
- Coordinates work of all personnel working in the textbook area.
- Manages the proper storage and maintenance of instructional materials and moving and storage equipment.
- Coordinates the ordering, receipt, labeling, distribution, and accounting for all instructional materials.
- Conducts end-of-the-year campus audits and physical inventories of district instructional materials and resources.
- Facilitates inventory software for shipping and receiving processes.
- Collaborates with warehouse staff and textbook specialist to schedule timely delivery and pick-up of instructional materials and resources from all campuses/facilities.
- Ensures all safety codes and regulations are followed.
- Manages district’s Technology and Instructional Materials Allotment (TIMA) Committee
- Conducts and oversees regularly scheduled TIMA meetings.
- Manages district’s biennium Instructional Material Allotment.
- Attends Board of Trustees meetings as needed.
- Works well with minimal supervision.
Supervisory Responsibilities:
- Directs the work of Textbook Specialist and other Instructional Materials Department employees.
- Trains, evaluates, and directs assigned personnel; prioritizes and assigns workload for assigned personnel.
- Promotes a positive, safe, and productive work environment.
Other Related Duties:
- Follows district safety protocols and emergency procedures.
- Participates in professional development, department meetings, and special events as assigned.
- Performs other duties as assigned by the Director of District & Student Support Services.
