  • The Denver Public Library (DPL) is a growing urban library system that serves the City & County of Denver.     The City Librarian’s Office is located at the Central Library and is responsible for the organization’s strategic plan; overall operations and management of the library; and partnership with City elected, appointed and civic leaders, as well as with the Library Commission and the Friends Foundation. The City Librarian is the Executive Director of the library and leader of the library’s Executive Team.

    DPL is hiring an Executive Assistant to provide executive-level, high-profile administrative support to the Executive Team. In this position, you will express the library’s value of welcoming everyone through interactions with top City officials, civic and community leaders, the public and staff at all levels. This position directs staff and customers to appropriate resources and communicates library policies, procedures and other information to a variety of internal and external audiences. The position works to resolve issues and situations encountered during daily operations and determine standards for resolution including escalations from customers. This position plays a key role in supporting the library’s value of strengthening connections by maintaining the City Librarian's calendar and scheduling and coordinating meetings and engagements. It also provides some calendar and meeting support to other Executive Team members. The position also plays a key role upholding the library’s value of stewardship by preparing and editing complex internal and external documents, agendas, minutes, meeting notes, presentations, correspondence and other communications while anticipating executive needs by gathering records, reports, statistics and other information. This position manages office budgets and funds and provides guidance to and coordination of (not direct supervision of) other administrative support staff to help ensure consistency, support sharing of tasks and distribute workloads, and recommend and implement changes in practices and procedures to increase operating efficiency and expedite workflow. Performs other related duties as assigned.

    Our ideal candidate has:

    • Knowledge of: Office management practices and procedures. Workplace technology including email, calendar, internet and other software. Strong knowledge of Google Workspace is a plus. Budgeting principles and practices sufficient to be able to administer a budget to accomplish objectives. 

    • Skill in: Administrative functions including scheduling, calendar maintenance, and document maintenance. Written and verbal communications. Research and analysis of information. Multitasking. Team and interpersonal work.

    • Ability to: Provide the highest level of confidentiality, discretion, and sensitivity and display high standards of ethical conduct and professionalism. Provide attention to detail. Establish priorities and meet deadlines in a fast paced environment. Demonstrate a positive attitude, excellent interpersonal skills and cultural sensitivity in working with customers and coworkers. Model connection, innovation, flexibility, and inclusion. Creatively problem solve, negotiate and handle stressful situations in a positive manner. Follow written and oral directions. 

    We know your time is valuable. Applicants who meet the following minimum qualifications will be considered:

    • Graduation from high school or the possession of a GED, HiSET or TASC Certificate.

    • Three years of administrative experience which must include one year of experience at the type and level providing support to a manager responsible for large, complex divisions or the highest level manager of a small organization.

    • A combination of appropriate education and experience may be substituted for the minimum education and experience requirements except for the one year of experience at the type and level providing support to a manager responsible for large, complex divisions or the highest level manager of a small organization.

    Other things to know: 

    • Generally, this position has a Monday-Friday business hour schedule but sometimes early morning, evening, and weekend hours will be required. This position requires the need to travel to branch libraries, other organizations, and businesses occasionally.

    • This position provides some flexibility to work remotely but also requires regular in person office time. When the renovation of the building allows the public access to the office space again, the position will require significant in person accessibility.
