The Opportunity:

Are you ready to take on a pivotal role where you will be the administrative backbone of our Programs, Transition, and Youth Success team? As an Administrative Assistant 4 (AA4), you will be the go-to expert for administrative matters, with the authority to execute critical tasks on behalf of the Director. From managing travel and equipment purchases to developing procedures and handling sensitive inquiries, this role offers a dynamic and impactful environment.

What You’ll Do:

  • Support the Director: Assist in day-to-day administrative tasks, including travel arrangements, budgeting, and managing the Director's email, calendar, and schedules.
  • Represent the Director: Communicate and represent the Director at meetings and other professional commitments.
  • Data Management: Research, compile, and analyze data for presentations, reports, and meetings.
  • Record-Keeping: Organize and manage the record-keeping system for program operations.
  • Inventory Management: Oversee inventory supplies to ensure program needs are met.
  • Fiscal Processing: Ensure expenses are within budget allotments and process fiscal items.
  • Maintain Confidentiality: Handle personnel actions with discretion and ensure accurate and timely paperwork completion.

Required Qualifications:

  • Four years of experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
  • OR one year as an Administrative Assistant 3.
  • OR two years as an Administrative Assistant 2.
  • Degrees must be from accredited institutions; foreign equivalency certification required for degrees obtained outside the U.S.

Preferred Skills and Abilities:

  • Bachelor’s degree in business administration, public administration, or a related field.
  • Three years of administrative or supervisory experience.
  • Commitment to equity, diversity, and inclusion.
  • Proficiency in SharePoint, Zoom, MS Outlook, Word, Excel, PowerPoint, OneNote, Visio, and Adobe Acrobat.
  • Ability to interpret and apply travel guidelines and policies.
  • Troubleshooting skills for computer hardware and software issues.
  • Experience in creating presentations, complex charts, graphs, and electronic forms.
  • Strong writing and reporting skills.
  • Experience in creating and maintaining tracking and monitoring systems.
