DeSales Catholic School is Hiring a Business Administrator Near Lockport, NY

OBJECTIVE: To support the Principal’s responsibilities, fulfilling school administrative needs in finance, buildings and grounds, and personnel. The Business Administrator directs these efforts within the framework of Christian and Catholic values.

MAJOR AREAS OF RESPONSIBILITY:

Financial Responsibilities

  • Maintains accuracy of all financial files and records and establishes a responsible cash receipts/disbursement management system.
  • Prepares, administers and reviews budget process in collaboration with the DeSales Finance Committee
  • Regularly monitors all areas of the school budget.
  • Processes full accounting system, including general ledger, accounts payable, accounts receivable, and payroll.
  • Reviews and balances all school and development accounts against monthly bank statements.

Personnel Responsibilities

  • Administers salaries and benefits programs for school, including health insurance and retirement programs.
  • Collaborates with Principal on all personnel issues affecting school employees.
  • Participates in the hiring and terminations policies of the school in collaboration with the Principal.
  • Maintains the employee handbook.

Administrative Responsibilities

  • Oversees the management of the school business office and school financial records.
  • Coordinates school liability, property, and workers’ compensation insurance with the Diocesan Department of Insurance Services.
  • Attends all Finance Committee meetings.
  • Attends Diocesan seminars and meetings as necessary.
  • Consults with and advises Principal on business and administrative matters that affect the school

SPECIFIC DUTIES AND RESPONSIBILITIES

Financial

  • Uses QuickBooks to maintain an accurate bookkeeping and recording system, including filing and record keeping for all school financial matters. Prepares monthly, quarterly and year-end reports for school and Diocese of Buffalo.
  • Prepares, administers, and reviews the budget process in collaboration with the Finance Committee and Principal and prepares monthly budget reports. Collaborates with Principal development and implementation of school budget.
  • Develops and implements procedures to safeguard all school assets and cash balances
  • Monitors the collection of school revenue from all sources (including fundraisers).
  • Serves as a helpful resource to school organizations in all financial mattes from planning to audit.
  • Serves as a school contact with financial institutions and the Diocese in collaboration with the Principal and Treasurer.
  • Reviews expenses and regularly looks for potential savings on services and products.
  • Assists development office in long range planning efforts
  • Processes accounts payable by issuing checks, proper budget allocation, and generating reports.
  • Communicates with parents regarding tuition policies, and implements the FACTS tuition collection program.
  • Transports deposits to the bank in a timely manner
  • Act as DeSales representative with outside collection agency and attorney as necessary.
  • Assist families in application process for DeSales tuition assistance and Diocesan assistance.
  • Processes Payroll.
  • Balances Cafeteria bank statement, performs all administrative functions necessary for the lunch program in cooperation with the Food Service Management Company.

Personnel

  • Creates and/or updates employee handbook in accordance with school policy.
  • Administers school salary and benefit policies as directed by the Principal and Finance
  • Committee.
  • Assists employees with any questions, concerns, or problems related to their employment at
  • DeSales including but not limited to: health insurance, retirement programs, payroll taxes, disability, etc.

Administrative

  • Coordinates and prepares school response to liability and legal concerns, in cooperation with Diocesan offices as appropriate.
  • Manages unemployment claims and all necessary paperwork and reporting.

Facilities Management

  • Meets regularly with the Maintenance supervisor to discuss repair and/or maintenance needs. With the assistance of the Maintenance Supervisor, manages major repairs or new construction.

QUALIFICATIONS:

Bachelor’s Degree or its equivalent required. Major in Business Administration, accounting or finance preferred.

Computer skills and knowledge of accounting.

Knowledge and understanding of the Catholic Church and its mission.

Ability to honor and maintain confidentiality in all areas of responsibility.

Ability to communicate and cooperate with school staff and organizations.

Ability to represent the school to outside businesses and organizations and present oneself professionally.

Must have good communication and people skills.

Job Type: Part-time

Pay: $21.00 - $23.00 per hour

Expected hours: 20 – 25 per week
