Job Summary:

As a Transportation Dispatcher, you are ultimately responsible for managing inventory, fuel dispatch and pricing, scheduling maintenance of trucks, and providing superior customer service. You will also assist in driver management to include interviewing, scheduling and overseeing training objectives.

Duties & Responsibilities:

  • Gather and interpret relevant inventory management data and monitor key performance data to anticipate customer service problems, opportunities and risks.
  • Provide high level of customer service and clear communication to drivers and clients while dispatching in a constantly changing environment.
  • Respond to calls, emails, and texts from drivers and clients at a fast pace while thinking quickly and clearly. Must have sound judgment to address situations as they arise.
  • Manage, listen, and direct employees and common carriers as well as other partners .
  • Participate in hiring, training and disciplinary action for all Truck Drivers.
  • Manage attendance and leave time requests of all Drivers.
  • Performs other duties as assigned.

- Inventory Management

  • Review and gather customer inventory levels from online database and reconcile daily
  • Communicate with sites for corrections as needed and adjust loads
  • Analyze, evaluate and dispatch in line with customer needs

- Fuel Dispatch and Pricing

  • Forecast and set loads for future shifts
  • Evaluate, adjust and monitor dispatched loads
  • Price and coordinate daily dispatch of fuel with vendors
  • Review drivers hours of service ensuring safety and in line with DOT regulations
  • Prioritize and assign loads by inventory, customer, price, pull points and geography
  • Dispatch common carrier trucks

- Customer Service

  • Receive and gather customer orders and communicate instructions to drivers
  • Ability to defuse situations, research problems and address concerns as needed

- Truck Maintenance

  • Set up POs and schedule required truck maintenance, update and maintain DOT maintenance records
  • Communicate with drivers and vendors for scheduling required maintenance
  • Ability to coordinate truck and load changes due to breakdowns and quickly route deliveries to maintain schedule while minimizing downtime and maintenance expense

- Driver Management

  • Assist in the interview and hiring process for new drivers
  • Manage training and carding process for all drivers
  • Monitor all schedules to insure there are adequate drivers on duty
  • Participate in Driver Safety/Operations meetings

Education & Experience:

  • High school diploma or equivalent required. 2 years of relevant work experience may be substituted for educational requirement.
  • 3 years of relevant Transportation Dispatch experience is required or 5 years of experience in truck driving may be substituted for transportation dispatch experience.
  • Must have working knowledge of and be comfortable using Microsoft Word, Excel, Outlook, Internet, email/scheduling software on a daily basis.
  • Comfortable with accurately entering billing information into an Excel document and keeping detailed notes for the Accounting Department.
  • Knowledge of DOT and CDL regulations is required.
  • Ability to understand spoken/written English.
  • Candidates must have strong organizational skills, a customer service orientation and an ability to provide drivers and clients with constantly changing information, while paying attention to details.

Supervisory Responsibilities:

  • Yes, indirectly approximately 20 drivers.

Essential Physical Requirements:

  • Prolonged sitting and usage of computer and standard office equipment.
  • Must be able to lift and carry up to 15 pounds.
  • Bending, stooping, reaching, pushing, and pulling may be occasionally required.
  • May need to work greater than 40-hours per week as required and certain weekends/holidays.
  • Constant state of alertness and ability to perform in a safe manner.
