Reports To: Director of Pastoral Ministries and Catechesis and Director of Human Resources: This is a part-time position, however we could consider full-time. Job Summary: This position provides administrative support to the Office of Human Resources and the Secretariat of Pastoral Ministries and Catechesis. This employee is the initial point of contact for guests and serves as a receptionist for the campus. Primary areas of responsibility::
Provides administrative support for Director of Human Resources and Secretary for Pastoral Ministries and Catechesis by collaborating, multi-tasking and communicating daily; taking messages and fulfilling specific tasks as directed.
Assists the Secretary of Pastoral Ministries in his oversight of the St. John Paul II Center which includes maintenance, equipment, and communication technology.
Acts a receptionist for the St. John Paul II Center.
Coordinates projects and events for Secretariat of Pastoral Ministries and Catechesis and Director of Human Resources under their direction which can fall outside normal business hours
Perform data entry into employee database systems to maintain current information
Monitor human resource department email to aid team in providing excellent service to parishes and schools
Prepare communications for distribution including mass emails to employees, PowerPoint presentations, and preparation of training materials
Act as a notary public
Assist with creating the human resource webpage on diocesan website
Create templates for job descriptions and other necessary tools for parish and school use
Help promote a positive work culture at the John Paul II Center
Act as liaison for Saints and Squires Employee Daycare in the building
Perform other duties as assigned
Specific Job Skills and Qualifications:
Proficient in use of Microsoft Office products including Microsoft Outlook, Excel, PowerPoint, and Word
Ability to take initiative, work independently, and meet deadlines
Excellent organizational skills and ability to prioritize responsibilities
Excellent verbal and written communication and well-developed interpersonal skills
Ability to collaborate and maintain working relationships with diocesan/parish staff
Skilled in updating web pages and managing social media accounts
Available to work some weekday evenings and weekends if needed
Ability to maintain confidential information
Fluency in both English and Spanish strongly preferred
Education and Preferred Work Experience:
2 years of office or administrative experience highly desired
Ability to communicate orally and in writing both Spanish and English
Physical Demands:
Regularly spend long hours sitting and using office equipment and computers
Regularly move from sitting to standing positions effortlessly
Regularly use hands and fingers to lift files, open filing cabinets, and for data entry purposes
Frequently bend to file paperwork
Must be able to speak and hear clearly so listeners can understand.
Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus.
