DM Estate Staffing is Hiring a Personal Assistant | Property Manager Near Austin, TX

Overview

We are looking for a versatile and dedicated Personal Assistant | Property Manager to join a dynamic and active family in Austin, Texas. This role requires a highly organized, proactive, and tech-savvy individual who can effectively manage a range of administrative tasks related to the family’s on-site homeschool and broader estate management duties, while also supporting the long-time Director of Residences. The ideal candidate will thrive in a fast-paced environment, contributing significantly to the administrative needs of the existing homeschool setup and managing extensive household responsibilities.

Responsibilities: This list outlines a broad range of responsibilities; not all will be required daily.

Homeschool Administrative Support: (50% of the role)

  • Identify future homeschool campus and project manage campus preparations (find lease if necessary). 
  • Assist in the oversight of construction and property improvements.
  • Meet with contractors and other vendors (such as civil engineer, architect etc) and report on project status to principal and Director of Residences.
  • Enter data related to payments, invoices, and receipts to maintain accurate financial records.
  • Maintain accurate records of homeschool-related purchases and organize receipts, transitioning responsibilities from the principal's assistant.
  • Ensure the campus meets all relevant safety regulations, such as fire department requirements for student safety, through diligent oversight and compliance checks.
  • Regularly report on administrative and financial status to the principal and the Director of Residences.
  • Collaborate with homeschool teachers to order and manage educational supplies.
  • Act as the primary point of contact between the Head of School, Principal, and other relevant stakeholders to address homeschool-related needs.

Estate Management and Administrative Support: (50% of the role)

  • Manage and update estate manuals regularly.
  • Assist in managing a substantial artwork portfolio using specialized art management software.
  • Organize the family library by subject and author and maintain an updated inventory.
  • Handle general expense report organization and procurement research as required by the principals.
  • Travel to other properties as necessary, manage digital storage of receipts and event documents using Dropbox.
  • Run errands, track inventory and supplies, and undertake other duties as assigned.
  • Provide right hand support to the current Director of Residences.
  • Assist with household events as needed.

Qualifications:

  • Must have at least 5 years of private service experience in a similar role. Longevity in past positions is important!

  • Candidates who have previous experience working in a school setting would be helpful/preferred.
  • Proficiency in technology, including Google Suite, Dropbox, and Excel. Strong administrative and organizational skills are required.

  • Strong organizational skills and the ability to handle multiple tasks simultaneously.

  • Excellent communication skills and the ability to work collaboratively with a diverse team.

  • Knowledge of art software management systems is highly desirable. 

  • Legally authorized to work in the US.

  • Willingness to undergo a thorough background investigation.

  • Must be local to the Austin, Texas area.

Compensation:

  • $120,000 per year 

  • Paid medical, dental, and vision

  • 10 days of paid vacation

  • 3 paid sick days

  • 6 paid holidays

  • 401k

  • Discretionary year-end bonus
