Admissions Operations Coordinator
Job Details

Salary Range : $55,000.00 - $58,000.00 Salary
Position Summary
The Admissions Operations Coordinator is a vital member of the Office of Admissions Operations. This position is responsible for processing and ensuring the integrity of admissions data and materials and managing applications throughout the complete admissions cycle in Technolutions Slate CRM. In addition, the position will manage admissions' main calendar, coordinate all campus visits, and supervises student workers. This position works closely with the undergraduate admissions, graduate admissions, and registrars office.
Essential Duties and Responsibilities:
CRM System Administration
  • Maintain data accuracy, integrity, quality, and retention.
  • Manage the Record Consolidation process to ensure clean data.
  • Create, edit, and run queries and reports in Slate for various audiences and reasons (including mailings and events).
  • Remain competent and current on systems and the admissions profession through self-directed professional reading, developing professional contacts with colleagues, and attending professional development courses/conferences (as budget allows).
Admissions Calendar Management
  • Maintains and manages the master admissions calendar.
  • Tracks and maintains all appointments in Slate via scheduler & the events folder.
  • Coordinates undergraduate and graduate campus tours with the admissions offices.
Admissions Operational Support
  • Prepare, print, and process various letters and correspondence to applicants at multiple points through the admissions cycle.
  • Support the Graduate and Undergraduate Admissions Offices by coordinating in-house mailings (such as the Admit Packets) and maintaining inventory, leading in-house assembly, and confirming mailing.
  • Inventory control of operations office materials (letterhead, envelopes, business cards, name tags, etc.) and supplies, ordering as needed in consultation with the Director of Admissions Operations.
  • Provide effective and efficient processing of all electronic application materials received from a variety of sources, including, but not limited to, reviewing documents, uploading, and linking to student records.
  • Provide effective and efficient processing of all paper application materials, including, but not limited to, opening mail, reviewing documents, scanning, uploading, and linking to student records.
  • Data entry into Slate.
  • Provide excellent customer service for all constituents (prospective students, current students, alumni, faculty, staff, and others), focusing on individual attention and friendly interaction that includes in-person, phone, and email communication and contacts.
  • Oversee the process of closing each term by including paper files for the Registrars Office, and archiving paper records following department policy.
Supervision and Leadership
  • Hire, train, supervise, and evaluate Admissions Operations Student Workers.

  • Answer the admission and campus main lines as needed and provide appropriate assistance.
  • Cover welcome desk as needed.
Perform other duties as assigned.
Required Qualifications:

  • Bachelors Degree or combination of education and equivalent experience in customer service or department operations
  • Minimum two years of administrative experience
  • Knowledge of admissions procedures and policies
  • Exceptional interpersonal, verbal, and written communication skills are required.
  • Proven proficiency with relational databases and data integrations
  • Strong time-management and organizational skills, high attention to detail, ability to work in a multi-tasked, deadline-driven environment
  • Ability to work independently and as a member of a team
  • Ability to maintain accurate and concise information in systems
  • Proficiency with all Microsoft Office applications
Preferred Qualifications
  • Supervisory experience
  • Experience with Technolutions Slate
Additional Position Information
  • Priority will be given to applications submitted by August 7, 2023; however additional applications may be considered until the position is filled
