Dominion Builders is Hiring a Construction Office Manager / Administrative Assistant Near Coral, FL

Summary: Manages front desk, handles company administration duties, and assists the President/CEO, office and field staff as necessary.
Examples of Duties: (Duties listed are not intended to be all inclusive nor to limit duties that might reasonably be assigned)
  • Answers four main phone lines*
  • Performs filing*
  • Orders office supplies, water, sodas, coffee, stamps, etc. *
  • Handles tool inventory for Superintendents and employee company equipment *
  • Sends and follows-up with Fed-ex/UPS packages and supplies *
  • Assists employees with various office needs*
  • Distributes and tracks office and parking access cards*
  • Liaison with office landlord*
  • Handles tracking and maintenance of office equipment, computers, phone system for office and field*
  • Responsible for mail sorting and organizing*
  • Assists the President/CEO as needed*
  • Notarizes legal documents*
  • Updates employee’s birthday chart and in charge of employee birthday cards or special employee events*
  • In charge of any greeting, birthday, get well cards for employees, clients, etc.*
  • Updates and distributes intercompany phone list*
  • Assists with obtaining estimates/quotes from subcontractors/suppliers, sourcing subcontractors, updating bid lists, client presentation proposal packages, ordering blueprints, ITB’s and plans management*
  • Enters President’s contacts into v.card format*
  • Handles company travel arrangements and puts on calendar*
  • Creates conference room calendar*
  • All other duties as assigned*
  • Manager of keys and access control for equipment*
  • Keeps Procore master database accurate and current*
  • Assistants with Subcontractor Pre-qualification Forms*
  • Administrative responsibilities for estimating:
  • Assists with obtaining estimates/quotes from subcontractors/suppliers
  • Sourcing subcontractors
  • Updating bid lists
  • Creates and distributes bid calendar
  • Prepare client presentation proposal packages
  • Ordering blueprints
  • ITB’s and plans management
  • RFP preparation and distribution
  • Follow-up calls to bidders and tracking of bid response
  • Updates physical bid board and bid calendar (invites PM and estimating team on all vital dates)
  • Updates excel bid log, Procore and Plan Hub if awarded or not
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Language Ability: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math Ability: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills: To perform this job successfully, an individual should have knowledge of and be highly adept with all standard office computer programs. Experience with Procore is a plus.
Education/Experience: High school diploma or general education degree (GED). Minimum (5) five years-experience working in a professional, fast paced office environment in the building industry.
Other: Candidate must be local to Miami-Dade or Broward County
Certificates and Licenses: Valid driver’s license
