THE POSITION
The Operations Manager will play a pivotal role in managing the overall operations of Dow Rummel Village. Specifically, this position will oversee the medical records department and assist the Executive Director of Operations with the organization’s strategic plan, the development and continuation of a robust scorecard and dashboard system, the development and continuation of productivity modeling, the management of data, and metrics. This position will also play a key role in reviewing and updating policy and procedure and deployment to all staff. This position requires strong technical skills, excellent communication, and a passion for working with data and metrics.
THE HOURS : 8am to 5pm Monday – Friday
PAY : Salary-Exempt
THE QUALIFICATIONS
Bachelor’s degree in business administration, healthcare administration or related field required.
Previous leadership experience preferred.
Work experience in software platforms and data analytics.
Proficient in Microsoft Suite, Adobe, and other software programs.
Ability to think quickly, analytically, strategically, and accurately.
Demonstrate initiative, ownership, multitasking, prioritization, and organization skills.
Must have good interpersonal skills –oral and written communication skills, positive, patient attitude and willingness to work as a member of a team to accomplish assigned tasks.
THE RESPONSIBILITIES

Develop and maintain standard policy and procedure to ensure compliance.
Develop and manage the monthly scorecard for data monitoring and leadership review.
Develop and analyze productivity models for various positions.
Obtain monthly metric data, input in reporting software, and review for trends and discrepancies.
Complete data collection and analysis to determine quality improvement opportunities related to the key performance indicators for the organization.
Perform data analysis projects and evaluate quality improvement opportunities to assist leadership in appropriate action planning.
Research and analyze current software applications and determine ways to streamline and increase efficiencies.
Assist in streamlining various forms and tracking mechanisms across the organization.
Assist with contract review and tracking.
Ensures education for all staff on all operational elements, including but not limited to, strategic plan goals, data monitoring, scorecard and dashboard interpretation, and policy and procedure compliance.
Oversee rental properties and manage contracts, rent increases, and tenant inquiries.
Oversee and manage the Medical Records department.
Assists in day-to-day activities of the medical records department and serves as a back-up.
Oversee schedules for department work hours (including vacation and holiday schedules), personnel, work assignments, etc.
Responsible for creating and monitoring department budgets.
Develop software training guides as needed.
Provides exceptional customer service to residents, family, staff, and external relations.
Assist with other operational duties as needed.
