Residential Property Manager

The position is responsible for the overall successful operations of the Notre Dame Housing property and works to ensure the department operations meet or surpass industry standards. The Residential Property Manager is a member of the Senior Management Team working to strategize short‐ range and long‐range organizational goals. This is a unique property driven by their mission and spirit of the Notre Dame Sisters.

Job Duties:

  • Provide excellent customer service to tenants, potential tenants, owners, and all other employees and management. Take pride in trying to resolve any complaints or conflicts at the property level. Take responsibility to finish the job. This is a people business – Listen and communicate.
  • Maintain positive tenant relations: Listen & communicate, resolve tenant problems in a timely fashion and within budget, follow-up with tenants and ensure their problems have been resolved.
  • Walk your property every day to ensure it is clean, safe, and in good condition. You should be prepared for an inspection at any time.
  • Demonstrate property knowledge by knowing square foot, vacancies, etc. (Expect to be questioned by Management/Owners/Tenants).
  • Follow up on tour notes and have them completed before next tour.
  • Ensure all weekly, monthly, quarterly, and annual reports are completed on time
  • Maintain records for purchasing appliances (fridges, stoves, sinks, etc).
  • Collect bids on housing/apartment repairs from contractors
  • Ensure you have a plan for emergency preparedness & response and share any relevant safety plans with tenants.
  • Responsible for city and state regulations for property and maintaining public safety (including OSHA knowledge, recordkeeping, and reporting).
  • Ensure proper coverage of office and have a plan for on call situations
  • Responsible for submitting any work comp claims to Human Resources immediately upon being notified and filling out the proper claim reporting paperwork.
  • Review and approve Move-ins, Interims and Annual Re-certifications for all applicable housing programs (Section 8 Project Based & LIHTC)
  • Responsible for notifying insurance of any property claims or claims from tenants regarding any accidents that occur on property.
  • Follows policies, procedures, and Fair Housing Laws
  • Assist with the preparation for MOR reviews, LIHTC and State Agency inspections.
  • Ensure HAP Payments for entire portfolio are submitted on time
  • Review and submit Special Claims for approval.
  • Assist with HUD annual rent increases, contract renewals, utility analysis, and RCS.
  • Ensure the accuracy of the waiting list of applicants for housing to determine applicant eligibility.
  • Conduct training for community managers, regional property managers and corporate staff to ensure compliance with federal, state, and local housing agencies.
  • Perform all other duties as assigned by Management

Personnel Management/Leadership:

  • Works with Human Resources to communicate hiring needs and works within the established hiring process guidelines.
  • Continuously trains and develops staff and oneself
  • Communicates clearly & effectively with staff and establishes goals and expectations up front, trains them on how to do the task, follows up with them to ensure it is completed, and holds them accountable.
  • Conducts reviews with employees at least once every year on their anniversary date

Financial Management:

  • Collect rent: reconcile, track, and collect account receivables
  • Handle evictions/judgments, including attending court as needed
  • Enter traffic, leases, fixed charges, etc.
  • Develop and implement budgets and spending schedules.
  • Always meet your NOI and cash goals.
  • Accountable for Budget, Cash Flow, and Income Production.
  • Utilize company software and Microsoft Office software and computer/mobile devices.
  • General understanding of Comparative Statements, General Ledgers, Financial Statements, and other miscellaneous reports.
  • Review, question, and/or approve invoices/payroll/bonuses.
  • Audit results and reports thoroughly and submit on time.

Leasing & Sales:

  • Oversee leasing staff and drive the leasing results for the property
  • Focuses on 100% occupancy
  • Ensures leads that toured are being followed up with that did not immediately commit.

Public Relations & Networking:

  • Maintain a professional image at all times.
  • Implement effective communication skills and network with the local businesses to increase occupancy/by forming partnerships with local businesses.
  • Expand on general awareness of the community, leaders, and business processes.
  • Keep up to date with knowledge of community development.
  • Communicates with News Media where applicable.

Minimum Requirements:

  • Experience in LIHTC and Project Based Section 8 is required.
  • Affordable Housing Compliance Certifications highly preferred. AHM, CPO, COS, and TCS certified is highly desired.
  • Yardi and Real Page/OneSite Experience preferred
  • Able to work patiently and professionally with residents while providing exceptional customer service
  • Highly motivated and able to work independently
  • Ability to handle pressure due to complexity and time sensitivity
  • Excellent organizational skills and attention to details
  • Strong verbal and written communication skills

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
