Summary

The Project Controls Specialist is responsible for overseeing and managing the financial aspects of projects within the Technical Services Operations. They play a crucial role in ensuring that projects are completed and invoiced within budget and on schedule, while also maintaining high-quality standards. The Project Controls Specialist work closely with project managers, finance teams, and other stakeholders to monitor project finances, analyze data, and provide insights to support decision-making.

Responsibilities
  • Budget Management : Develop, monitor, and manage project codes and plans in collaboration with project managers and finance teams. Ensure that all project expenses are tracked accurately and align with the approved budget.
  • Cost Tracking : Monitor project costs and depletion throughout the project lifecycle. Identify cost variances, analyze their causes, and provide recommendations for corrective actions to keep the project on track financially.
  • Financial Reporting : Prepare and present regular financial reports on project performance to stakeholders. This includes tracking actual spending against budgeted costs, forecasting future labour hours and expenditures, and providing explanations for any discrepancies.
  • Forecasting : Utilize historical project data and current financial trends to forecast future project costs and resource requirements. Develop accurate financial projections to support project planning and decision-making.
  • Oversight of Time and Expenses : Monitor and manage the time and expenses reporting of personnel working on projects. Ensure that hours worked and expenses incurred are accurately recorded, approved, and aligned with project budgets and schedules. Provide guidance and support to project team members regarding time and expenses reporting policies and procedure.
  • Invoicing Oversight : Manage the processing and approval of project related invoices. Ensure that invoices are accurate, properly coded, and in compliance with contractual agreements and company policies. Coordinate vendors, clients, and internal stakeholders to resolve any invoice discrepancies or billing issues promptly.
  • Risk Management : Identify potential financial risks and uncertainties that could impact project outcomes. Develop risk mitigation strategies and contingency plans to minimize financial losses and ensure project success.
  • Compliance : Ensure compliance with relevant financial regulations, accounting standards, and company policies. Maintain accurate records and documentation to support audit activities and financial reporting requirements.
  • Collaboration : Collaborate with cross-functional teams, including client project managers, TSO account managers, procurement, operations, and senior leadership, to align financial objectives with project goals and priorities. Communicate effectively to ensure transparency and alignment across the organization.
  • Continuous Improvement : Proactively seek opportunities to streamline processes, improve financial controls, and enhance project management practices.
  • Stakeholder Management : Build and maintain positive relationships with project stakeholders, including clients, vendors, and internal teams. Address their concerns, provide timely updates on project financial performance, and solicit feedback to ensure satisfaction and alignment with project objectives.
  • Client documentation : Generation and process client proposals and statement of work. Management of client purchase orders.
  • Other duties as assigned
Skills and Qualifications
  • Degree in Business Administration, Management, Finance, Accounting or equivalent level of qualification
  • 3 - 6 years of experience in project costs, scheduling, and change management or equivalent level of experience
  • Understanding of Earned Value, project controls principles, and project management processes
  • Ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Ability to provide legal US work authorization documents required. Will consider US domestic travelers and relocation.
