POSITION: Office Manager Frankfort (102 Diagnostic Dr. & 643 Comanche Trl.)
JOB SUMMARY: We are in search of an Office manager for our Frankfort Locations that will lead our team to success. Your role is to create and maintain an inclusive work environment while ensuring high levels of organizational effectiveness and patient satisfaction.
This individual is responsible for overseeing the day-to-day operational functions for the medical practice including: ensuring that office policies, procedures, and plans are executed in a smooth and expeditious manner, performing financial oversight, insurance administration, and personnel management duties.
Previous experience as a Front Office Manager or Medical office administrator would be advantageous. Ideal candidates will have a history of leading a team to success through leading by example and encouraging their team to achieve.
Travel required between locations.
Education and Experience:
  • Medical practice experience. 2 years preferred.
  • Experience managing a team.
  • Computer literacy.
  • Experience with NextGen H.I.S., Microsoft Word, Excel and Outlook a plus.

RESPONSIBILITIES:
Practice Management
  • Execute and monitor interview/onboarding/training process.
  • Provides leadership, guidance, and expertise to all staff members.
  • Monitor and drive team morale.
  • Effectively communicates departmental activities to the entire staff.
  • Establish and maintain a high performance team that is efficient, knowledgeable, and service-oriented.
  • Monitor employee payroll.
  • Work closely with practice doctors and upper level management.
Financial Responsibility
  • Monitors the posting of charges, payments, and adjustments and processes as needed.
  • Processes patient/insurance collections as needed.
  • Monitors the preparation of daily deposits, including the change, credit card transactions, and petty cash reconciliation as needed.
  • Monitor the issuance of refunds and process as needed.
  • Reconciles fee sheets as needed.
Insurance Administration
  • Maximizes electronic claim submissions to insurance companies.
  • Prepares for secondary insurance submissions.
  • Understands accounts receivables for both insurance and patients.
  • Proactively positions the practice for a discounted fee-for-service and potential capitation insurance environment.
Compliance
  • Ensures all HIPPA and OSHA protocol are correctly executed and understood.
  • Ensures all risk management procedures are executed and understood by all members of the staff.
Management
  • Open / Close the practice as needed with key holder and alarm code responsibilities.
  • Fill in as needed in other roles of front office employees.
  • Ensure patient experience excellence.
  • Monitor and drive practice Doctor appointment rates to goal.
All other responsibilities as needed by management.
