BOOKKEEPER
JOB DESCRIPTION

DIVISION: Leadership and Planning GRADE: White Collar – Level IV

DEPARTMENT: Local School WORK DAYS: 248

REPORTS TO: Principal FLSA STATUS: Non Exempt

POSITION SUMMARY
To maintain all financial records for the school as assigned in accordance with all applicable laws, policies and procedures.

MINIMUM REQUIREMENTS
High school diploma or equivalent
CERTIFICATION: N/A

WORK EXPERIENCE:

  • Two (2) years bookkeeping experience
  • School related bookkeeping experience preferred
  • PREFERRED QUALIFICATIONS
  • Knowledge of basic accounting principles
  • Knowledge of filing and general office procedures
  • Knowledge of applicable laws, rules, policies and procedures
  • Ability to communicate orally and in writing
  • Interpersonal skills
  • Analytical and organizational skills

ESSENTIAL DUTIES

  • Maintain all financial transactions and records in accordance with the Martin County School District

Board Policies and Administrative Rules.

  • Collect funds from students, parents, staff, community organizations, individuals and student support organizations; processes all school money and prepares deposits; posts all receipts and disbursements to the local school accounting program
  • Transport deposit to bank on a daily basis and scan checks directly to bank
  • Ensure prepared deposits are properly secured in the local school
  • Perform daily verification of deposits and disbursements to school’s bank account
  • Verify vendor invoices and resolves any discrepancies
  • Ensure invoices are paid in accordance with the terms of payment
  • Route all purchase requests with attached supporting documentation to the Principal for approval
  • Verify funds are available for all purchase requests and check requests prior to processing orders and payments

  • Process and posts approved monthly procurement card transactions; process all approved orders, including online orders and purchase orders
  • Submit monthly financial reports and District payments to the appropriate central office department by the required deadline
  • Prepare all Purchase Orders , review vendor information to assure W-9 and 1101
  • Work with the backup Bookkeeper to ensure they are familiar and able to perform the essential bookkeeping duties in the absence of the school Bookkeeper
  • Prepare fundraiser and ticket reports
  • Perform other duties as assigned

Working Conditions: Normal office and school environment and/or classroom environment.
Physical Demands: Routine physical activity associated with normal office and school environment.

Vision: (Which may be corrected) to read small print; view a computer screen for prolonged periods.
Hearing: (Which may be corrected) to answer telephones and tolerate exposure to noisy conditions.
Speech: To be understood in face-to-face communications; to speak with a level of proficiency and volume to be understood over a telephone.
Upper Body Mobility: Use hands and fingers to feel, grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head.
Environmental Conditions: Encounter constant work interruptions; work cooperatively with others; work independently; work indoors.
Minimum Mental Requirements: Ability to read, write, understand, interpret and apply information at a moderately complex level essential for successful job performance; judgment and the ability to process information quickly; learn quickly and follow verbal procedures and standards; give verbal instruction; rank tasks in order of importance; copy, compare, compile and coordinate information and records.
