Position Title: People & Systems Administrative Coordinator

Reports to: Director of People & Systems 

Job Type/ Classification : Full-Time/Hourly/Non-Exempt (M-F 8a-5p)

Position Summary : The People & Systems Administrative Coordinator (PSAC) will be responsible to the Director of People & Systems (DPS) to provide operational administrative support in Dream Center Evansville’s (DCE) key physical and human organizational structures. The PSAC will apply the organization’s values and principles of excellence towards supporting the continuous improvement and enhancement of daily processes and systems. The PSAC will demonstrate operational excellence while holding a vital role within our organization by aligning administrative, operational, and facilitation tasks that help maintain integrity to the DPS’s daily and strategic operations in asset management. The PSAC will support higher levels of effectiveness and efficiency within the DPS role in order to enhance all People & Systems areas of output. The PSAC will provide support services to the DPS and will be responsible for assisting within the organization’s financial, human resources, operational, facilities/building and grounds, fleet, and other facets as assigned to ensure efficient operation of the organization as a whole. 

Principal Responsibilities :

  1. Personnel & Human Capital Assistance: Duties shall include administrative processes and duties under the direction of and in conjunction with the DPS. The PSAC will be responsible for assisting DPS with various HR responsibilities and tasks, including research, policy development, proofreading, hiring/onboarding and offboarding, facilitation and implementation of policy and operational updates, etc. to ensure DCE provides a high quality workplace for the DCE workforce. The PSAC will assist in scaling human resource programming and utilizing resources to maximize employee performance and ensure highly effective production occurs. 
  2. Facilities and Materials Assistance: Duties shall include supporting and assisting DPS in management of all Dream Center Evansville physical and digital assets. The PSAC will assist DPS in overseeing the quality maintenance, development, and improvement of DCE’s North Main Campus and Grounds, neighborhood properties, and key physical assets. PSAC will help ensure the organization’s standards for safety, security, organization, developmentally appropriate aesthetics, and cleanliness are well established and achieved.
  3. Organizational Development : Duties shall include providing assistance to support DPS in planning strategic activity of Dream Center processes alongside the rest of the leadership team in collaboration with the Cradle to Career team for the evaluation, development, and implementation of programs, policies, and strategies tailored to meet organizational development needs and goals including: staffing, training, space, safety, ethical practices, and performance management. 
  4. Continuous and Quality Improvement: Duties include supporting DPS in implementing regular personnel and environmental evaluations and managing continuous improvement processes that prove to enhance effectiveness and efficiency in the context of annual strategic plans.
  5. Administrative Assistance: Support and serve with humility and strategic relentlessness the daily and long term operations of the DPS. Duties aside from administrative assistance to the DPS include ensuring invoices and donations are processed in a timely and accurate manner while adhering to departmental procedures; handling general office management & coordinating office supply inventories; data entry and record keeping; and receptionist responsibilities, including greeting visitors and directing them to the appropriate place or personnel, and fielding incoming calls to DCE.

Job Specifications Requirements

  • Preferred to have 1 to 2 years of HR assistant or administrative assistant experience.
  • Preferred experience in operational or executive assistance.
  • Hard-working, detail-oriented professional who is creative, strategic, resourceful, reliable, and organized.
  • Trust-worthy and responsible when handling confidential information 
  • Strong written and verbal communications skills 
  • Strong computer skills and proficiency in Google Workspace & other relevant software programs
  • Knowledge of general office procedures and basic data entry skills

Conditions of Employment

  • Criminal background check must show no conviction of a felony or misdemeanor crime including, but not limited to abuse, drugs or alcohol, neglect, theft or fraud. 

Education Requirements :

  • High School Diploma required
  • Associates in Human Resources, Business or Business Administration, Non-Profit Management or related work experience
