An Executive Assistant is needed for a top-ranking real estate team in the Plainfield, IL area. With the help of this individual, the owner is hoping to focus more on selling Real Estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond - just like other members of this team.
The ideal Executive Assistant thrives on building and managing systems independently, ensuring tasks are completed with high quality, attention to detail, and clear communication. They possess strong focus, and integrity, and enjoy collaborating closely with colleagues. Optimistic and growth-oriented, they support the team's success and seek personal and professional development. As the team grows, they will hire, train, and lead new members to maintain high standards and efficiency in administrative and marketing tasks.
Compensation:
  • Salary Range: $40,000 - $50,000
  • Paid Time Off (PTO)
  • Bonuses - Considered after 60-day period
Responsibilities
This person's primary responsibilities include, but are not limited to:
•Assist and support the owner in all business and personal areas needing assistance.
•Screening and directing phone calls; distributing correspondence.
•Handle requests and queries appropriately.
•Schedule meetings and appointments.
•Produce reports, presentations, and briefs.
•Build, implement, and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support.
•Create and maintain an operations manual that documents all systems and standards.
•Oversee all contracts from appointment preparation through closing.
•Collaborate with allied partners to ensure a timely and client-centric experience on all transactions.
•Client care and client experience management.
•Social media management, growth, and engagement.
•Marketing including event management, graphic design, and client touch plans.
•Assist clients and help them to have an extraordinary experience.
•Manage day-to-day office operations.
•Track expenses accurately and create effective budgets.
•Lead Management Assistance.
•Marketing of Listings, Business, and Team through social media and other avenues.
•(Eventually) Hiring, training, and holding team members accountable.
This person will LOVE checklists and "to do" lists and will love paperwork .
Qualifications
•High School Diploma, Bachelor's Degree preferred
•Outstanding organization
•Strong attention to detail
•Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly
•Able to multitask and prioritize daily workload - calm under pressure, able to manage multiple projects at once
•Great ability to focus and work independently, self-starter
•Ability to anticipate needs of lead agent, clients, and allied partners
•Effective interpersonal skills, including superior oral and written communication skills
•Strong problem-solving abilities
•Discretion and confidentiality
•Customer service focus and solutions-driven
•Learning-based and growth mindset
•Service-based attitude
•College degree and social media experience preferred
•Real estate license preferred
•Comfortable handling strong personalities
•Must be thorough and LOVE to-do lists
•This person must have a CAN and WILL DO attitude. This person will do anything and everything they need to in order to free their agent up to sell.
