Job Title: Chapel Hospitality & Building Management

Occupational Summary

Direct the activities of a dedicated team of staff and volunteers to ensure excellent visitor experience for all. Coordinate activities associated with the physical and environmental conditions of the building facilities of the Chapel; secure services to meet departmental needs for physical aspects of daily operations, maintenance, repairs, and renovations.

Successful candidates will have an exceptional understanding of hospitality and management in a cultural setting and display an aptitude for customer service and collaboration. This position also requires excellent managerial skills and the ability to communicate effectively with university partners, students, faculty, staff, as well as regional and international visitors. Detail oriented and systematic, this position develops and maintains relationships across campus to ensure the Chapel is a welcoming space with all work completed on time and in the correct manner.

This position reports to the Senior Director of Chapel Business and Facilities.

Work Summary

(60%) Chapel Hospitality Management

Plan, organize, and manage the daily operations of the Chapel Visitor Relations Team with 13 part-time staff, a volunteer docent corps, and a dedicated full-time staff assistant. Core duties include: Staff training and management; Oversight of Chapel Weddings Team; Chapel reservations and internal calendar coordination; Team budget development and oversight. This position checks the quantity of supplies and equipment on a daily basis, such as brochures, candles, pew cards, and other visitor resources and attends to any complaints logged by guests in a professional and timely manner. Participate in monthly meetings: Senior Staff, Programs and Projects, and All-Staff meetings.

(20%) Building Management

Coordinate the ongoing maintenance of the building in collaboration with Duke’s Facilities Management Department and various specialists engaged to care for specific aspects of the building, including the windows, organs, and carillon. All building maintenance is noted on the Chapel’s internal calendar.

(15%) Documentation

Maintain accurate attendance and participation records; monitor the monthly budget of the hospitality division, create expenditure reports for review; maintain a current hospitality operations manual with key information for Chapel staff; perform monthly check in meetings with each part-time team member, monitoring performance and participation.

(5%) Special Projects and Duties as assigned

Work with the leadership team to develop and implement new visitor experiences and opportunities to enhance engagement. Other assignments on an as needed basis from the Senior Director of Chapel Business and Facilities.

Education/Training:

Experience:

Requires a total of 5 or more years of experience in hospitality or related field or an equivalent combination of education and relevant experience.

Minimum Qualifications


Education

Work requires analytical, communications and organizational skills generally acquired through completion of a Master's degree.

Experience


Work requires two to five years of experience or an equivalent combination of education and relevant experience.
