Occ Summary

Reporting to the Associate Dean of Academic Affairs, the Academic Affairs Program Coordinator will work closely with all members of the Academic Affairs Office, including the Registrar’s Office, on curriculum and program management, including supporting reporting on assessment for compliance purposes.

Responsibilities: This role will provide general office management and organization for the Office of Academic Affairs as well as engage in all stages of the Law School's curriculum and student academic experience, by developing and collecting data at the outset of the process, supporting the Office of Academic Affairs through implementation, and preparing reports for review, analysis, and enhancements at the conclusion of each academic semester and year.

Program Coordination (60%):

  • Wintersession:
  • Assist in contacting alumni to participate in Wintersession as instructors.
  • Support course sites in Canvas, including updating course sites as needed, posting course materials, managing class rosters, and troubleshooting access for instructors and students.
  • Distribute necessary surveys or information-gathering tools, including course evaluations in Qualtrics or Watermark, compile results, and share data in a useful and meaningful way.Provide information as needed for adjunct faculty and guest lecturers/speakers, on issues such as parking, access to technology, and information about Duke Law’s systems.
  • Provide administrative support with event planning – scheduling and securing rooms, ensuring tech support is available, drafting correspondence, and other logistics.
  • Professional Development (PD) Program
  • Assist in contacting alumni and students to participate in the PD program as speakers or panelists.
  • Manage Canvas site, including updates as directed, posting course materials, managing class rosters, and troubleshooting access for instructors and students.
  • Distribute necessary surveys or information-gathering tools in Qualtrics, compile results, and share data in a useful and meaningful way.
  • Provide information as needed for adjunct faculty and guest lecturers/speakers, on issues such as parking, access to technology, and information about Duke Law’s systems.
  • Oversee event planning – scheduling and securing rooms, ensuring tech support is available, and other logistics.
  • Student awards and honors
  • Compile and analyze identified data necessary to support each semester’s Dean’s Awards. Prepare communication of the awards to students.
  • Compile and analyze identified data necessary to determine graduation honors each summer. Assist in drafting report to the Administrative Committee and communications to students and faculty.
  • Student Academic Advising and other student-related curricular issues
  • Develop a comprehensive understanding of all Law School Rules and Policies, with an emphasis on those related to academic standards and degree requirements.
  • Respond as directed to student questions about registration and basic degree progress and requirements
  • Support the Assistant Dean for Academic Affairs with tasks related to students studying abroad, including managing paperwork relevant to visa process and other travel documents.
  • Assist with exam administration and preparations for graduation and other events as needed.
  • Collaborate as needed and requested.

Survey Implementation and Data Analysis (30%):

  • As requested, design and implement surveys to collect data about student enrollment, course scheduling, registration, grading, student academic experience, assessment of student learning and other areas as requested, both on an annual and as requested basis, to support accreditation, assessment and ongoing internal review requirements for the Dean’s Office, Academic Affairs Office and Curriculum Committee.
  • Compile, analyze and communicate student and curricular data to Academic Affairs staff and external audiences, including accreditation-related offices (e.g., ABA, SACS, Provost’s Office, University Bulletin), using charts, graphs or other data visualizations as appropriate, in addition to analytical narratives.
  • Support reporting efforts of Office of Academic Affairs, including assisting with bar passage and other annual and/or periodic requirements related to accreditation.
  • Fulfill data requests using a variety of data sources available throughout the University, including Qualtrics and Tableau, and be able to make meaningful connections within the data to answer questions about student enrollment, academic experience, and interest, and learning trends.
  • Develop a comprehensive understanding of the reporting capabilities of DukeHub.
  • Conduct research on peer schools and maintain knowledge of current and emerging trends and processes for collecting and communicating curriculum information.

Other Assignments (10%):

  • Undertake special projects related to the curriculum and programmatic initiatives as requested.
  • Perform other related duties incidental to the work described above.

Minimum Qualifications

Educational Required

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.

Experience Required:

Work requires one year of experience in program administration or involving academic, instructional, or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events

OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE

Preferred:

Three years of experience in program administration.

Understanding of law school experience and operations extremely helpful. Flexible schedule and partial remote work possible.

Skills Required

  • Ability and commitment to understanding and implementing complex University and Law School academic requirements, policies, and procedures, including accreditation standards.
  • Strong technology skills, including proficiency in Microsoft Word, Excel (including the use of pivot tables), PowerPoint, Outlook, Qualtrics, and Tableau.
  • Experience working with emerging and/or educational technologies preferred.
  • Experience with best practices for presenting data and creating charts and visual representations as appropriate.
  • Strong organizational skills and attention to detail.
  • Excellent writing ability.
  • Capacity to balance multiple and varied tasks, meet deadlines, and use well-developed time management and organizational skills.
  • Capacity to work and communicate well with faculty, students, administration, and university officials.
  • Demonstrated ability to maintain confidentiality of sensitive information.
