Duvera Consulting LLC is Hiring an Office Services Coordinator Near Houston, TX

Duvera's client, a highly regarded top ranked international law firm is searching for a Office Services Coordinator for their office located in downtown Houston. The Office Services Coordinator responds to inquiries and requests for office services, including document reprographics, mailroom, facilities and maintenance. Works insync with the current Office Services Coordinator to ensure that all such requests are provided seamlessly.

Hours are 8:30-4:30. A parking stipend or metro pass is provided along with excellent benefits and room for growth!

ESSENTIAL FUNCTIONS:

  • Maintains effective working relationships with clients, attorneys and staff.
  • Establishes and maintains relationships with other Firm departments.
  • Performs document reproduction and finishing.
  • Receives and distributes inter-office and external mail.
  • Prepares outgoing mail for distribution.
  • Distributes incoming faxes and sends outgoing faxes.
  • Uses scanning hardware to scan documents to PDF or word processing files.
  • Uses barcode-scanning hardware to scan records management file labels to update current file location, generate and reconcile reports, and locate missing files.
  • Assists with maintaining neat and orderly copy center and mail room.
  • Assists with maintaining inventory of and ordering office supplies.
  • Assists with coordinating facilities maintenance and repairs with sub-contractors, vendors and building management.
  • Assists with maintaining an inventory of and ordering printer, fax, copier and mailroom supplies.
  • Assists with training new employees and provides guidance to users of copiers, fax machines and mail room equipment.
  • Troubleshoots issues with copiers and fax machines.
  • Coordinates repairs or service for copiers, fax machines and mail room equipment.
  • Complies with and understands Firm operation, policies and procedures.

QUALIFICATIONS:

  • Knowledge of relevant firm computer software programs (e.g., MS Outlook, Word Excel, PowerPoint), with the ability to learn new software and operating systems
  • Ability to handle multiple projects and shifting priorities
  • Ability to work well independently as well as effectively within a team
  • Ability to lift, carry or otherwise move and position objects weighing up to 50 pounds
  • Ability to climb a step ladder and reach overhead to place and remove objects from above
  • Flexibility and willingness to perform a wide range of tasks
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Experience/Education

  • High School Diploma or equivalent
  • Minimum of one-year related experience in a professional services environment (preferably a law firm)
