Job Summary
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Duties

  • Greet and assist clients and visitors in a friendly and professional manner.
  • Manage incoming phone calls, ensuring proper phone etiquette and directing calls as necessary.
  • Maintain an organized filing system for documents and records, both physical and computerized.
  • Schedule appointments and manage calendars efficiently to optimize time management.
  • Perform data entry tasks accurately, including typing reports and correspondence.
  • Utilize QuickBooks for basic accounting tasks as needed.
  • Support dental receptionist duties, including handling patient inquiries and managing patient records if applicable.
  • Assist with general administrative tasks such as ordering supplies, preparing documents, and coordinating office activities.
  • Ensure the reception area is tidy and welcoming at all times.

Experience

  • Proven experience as a receptionist or in an administrative role is preferred.
  • Bilingual skills are a plus, enhancing communication with diverse clientele.
  • Strong computer literacy with proficiency in Microsoft Office Suite and QuickBooks.
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.
