POSITION: Rental Event Services Coordinator
EMPLOYMENT STATUS: Permanent, Full-Time, Variable Hours, Non-Exempt
REPORTS TO: Rental Event Services Manager
POSITION SALARY RANGE: $44,750-$55,000; STARTING SALARY RANGE: $45,000-$52,000

Position Summary:
Working under the direction of the Rental Events Services Manager (RESM), the Rental Event Services Coordinator
(RESC) will support the rentals department with coordinating the use of the Edmonds Center for the Arts venue.
The RESC coordinates the rental client experience from inquiry to event financial reconciliation and ensures a
high-quality, efficient experience for all. This is a high-volume environment where work productivity, process
efficiency, and effective communication skills are a must. The RESC works a flexible schedule as night and
weekend events are common and consistent.
This position coordinates daily rental operations, collaborates with other rental department employees,
coordinates with other ECA departments (production/advancement services, ticketing, front of house, marketing,
accounting), and provides input on the development and implementation of policies and processes for these areas
as it relates to rental events. In facilitating the needs of a variety of events, this position has a high level of
interaction with professional touring artists as well as community-based partners, volunteers, and performers with
a wide range of experience levels. Ensuring that every client has a positive and safe experience at Edmonds Center

Essential Functions
Event Administration & Coordination

  • Field rental inquiries in a timely manner and provide potential clients with specific information relating to
booking their event, i.e. available dates, rates and fees, insurance requirements, etc.
  • Schedule and coordinate between all events that take place at ECA, including external and internal clients.
  • Work with various departments to advance and execute all event logistics and operational needs for rental
events, including technical production needs. Support on internal events where needed.
  • Serve as a liaison between the client and the venue, participating in site visits, and providing consultation,
cost estimates, and planning on all venue-related event logistics.
  • Develop and maintain strong relationships with clients, providing excellent customer service and attention

to detail. Work with clients to suggest ways to design their events to best take advantage of the venue (e.g.,
marketing packages).

  • Utilize diagramming software to create event layouts and map flow, ensuring efficient use of space and
optimal guest experiences.
  • Enter inquiry, holds, and/or event information into event scheduling software for rental event services,
tracking and keeping changes up to date ensuring internal teams are informed.
  • Attend production meetings with ECA staff and clients to facilitate open communication and cooperation
scheduling and events, as requested. Provide updated reports for such meetings.
  • Provide cost estimates for venue services, equipment rentals, and vendor services, and drafting final billing
post-event for review by the RESM.
  • Maintain clear, consistent, and up-to-date communication regarding event logistics with clients, vendors,
community partners, and internal departments.
  • Ensure all events have an executed contract, payment of deposit, and proof of insurance before the event
date.
  • Confirm final event logistics and details with the client and internal departments before event execution.
  • Assist with rental file management and upkeep.

Business Development and Revenue Generation:

  • Assist the RESM to identify and pursue relationships with new clients including promoters and commercial
clients to generate revenue opportunities.
  • Prepare contracts and addendums with clients for review by RESM.
Budgetary and Financial:
  • Provide information from scheduling software, historic trends, and current prospective opportunities, when
requested.
  • Draft invoices to clients for RESM approval, work with rentals department to follow up on outstanding
balances.
  • Assist with the annual review and revising of pricing models with executive leadership and appropriate
committee(s) to achieve continuous improvement of margins wherever possible.
  • Ensure all credit card receipts, check requests, vendor invoices, and other financial records are submitted to
accounting in a timely manner.

Rental Event Management & Operations:

  • Request maintenance and repairs in common areas to maintain the appearance of the building, as
needed.
  • Assist with the review and update of the Event Management Handbook on a regular basis; conduct event
management training and advise on general event management for staff as needed.
  • Work with RESM to identify best practices and trends in the industry and adapt rental event services
procedures accordingly.
Other:
• Attend department, staff, and other rental event services related meetings.
  • Disseminate flyers and/or other marketing materials, as requested.
  • Take photos of rental events to continue to build the rental services marketing portfolio.

PREFERRED KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent computer skills, including event management software; Microsoft Excel (arithmetic functions),
Teams, Word, Outlook, Visio, Momentous.
  • Familiarity with the industry the company operates in, including market trends, competitors, and potential
clients.
  • Familiarity of sales techniques, marketing strategies, and customer acquisition methods.
  • Excellent verbal and written communication skills to effectively convey ideas, negotiate deals, and build
relationships with clients.
  • Capacity to identify challenges, propose solutions, and overcome obstacles in the business development
process.
  • Effective management of time and resources to prioritize tasks and meet deadlines.
  • Ability to adapt to changing market conditions, client needs, and ECA goals.
  • Interpersonal skills to work collaboratively with cross-functional teams and establish and maintain
relationships with clients, partners, and stakeholders.
  • Ability to exercise a high level of professionalism, judgment, and above all, discretion, and confidentiality.
  • Coordinate and provide support for the set-up/break-down of meetings, events, including event related

equipment.
QUALIFICATIONS, EDUCATION AND EXPERIENCE:

  • Associates degree or equivalent in Arts Administration or in related field, OR equivalent combination of
education and experience.
  • 2-3 years direct experience working in event management, facilities, hospitality, or theatre operations: or
equivalent combination of education and experience preferred. Previous experience and/or training in a
venue.
  • A minimum of 1 years’ relevant experience in contract administration, a plus.
  • Solid understanding of financial information and data
  • Current CPR/First Aid Certification.
  • Crowd Control Certification.

WORKING CONDITIONS:
This position may have a moderate to high stress level associated with dealing with crowds of public visitors. The
environment is mainly indoors, however position may be required to work outdoors and exposed to the elements
(heat, rain, etc.). Potential hazards involving high places, working under structures such as lighting equipment and
beams.
This is a full-time position; hours of work must be flexible and varied to meet the demands of the events of the
facility. Must be able to work extended and/or irregular hours including day, nights, weekends, and holidays, as
needed.

  • Must be able to continuously stand or walk for extended periods.
  • May require lifting, climbing, carrying, bending, stooping, squatting, and kneeling for extended periods of
time.
  • Ability to lift up to 40-pound items with or without assistance, while maintaining good balance.
  • Ability to work more than 8 hours in a single shift.
  • Standard office environment for administrative tasks. Moderate level of movement around the venue, often at
a quick pace. Periods of remaining in a stationary position in an office setting and operating a computer.
  • Unexpected interruptions occur often, and stress level is moderate to high.
  • Noise level is quiet to moderate.
  • Ability to observe details at close range during computer use and document review.
  • Repetitive use of hands and wrists on computers and equipment.
  • The ability to communicate information and ideas so others will understand. Must be able to exchange

accurate information in these situations.
