Office Assistant 3 - Pool

SALARY: $35,280 - $39,528

LOCATION: Lynnwood, Washington

DESCRIPTION:

The Office Assistant will provide clerical support to the Director of the program. The ideal person for this position will work as a team member to provide a high-level support service for the departments and students. Responsibilities include: modifying and/or maintaining databases; organizing and prioritizing office operations; keeping accurate office records and filing systems; generating documents; and monitoring and evaluating department budgets.

The ability to work independently and maintain procedures are essential. In managing the responsibilities of this position, the Office Assistant will: generate purchase requisitions, special assignment personnel action forms, invoice vouchers, and other office forms; work with the department in tracking expenditures and departmental budgets; monitor office supplies; answer a multi-line telephone system; pickup and deliver mail for the department; photocopy materials; receive and direct visitors; perform word processing and computer tasks; maintain files and records; respond to phone and email inquiries; plan and coordinate department events.

This posting is for a pool. Individual position responsibilities may vary.

RESPONSIBILITIES INCLUDE:

* Maintains CHS database and document tracking.

* Track student registration and payment process, including tracking student scholarships, student payment/nonpayment, and class placement requirements (especially Math).

* Track and update contact information for college and high school staff.

* Assist CHS Director in collecting required paperwork and compiling documents for compliance reports.

* Assist with budget set-up and expenditure tracking.

* Create requisitions and track payment in ctcLink.

* Update expenditures in Google Sheets.?

* Track professional technical program requirements, including faculty certification and advisory committee participation.

* Update website with appropriate documentation.

* Maintain google sheet to track faculty certification process and expiration dates.

* Coordinate annual Advisory Committee Appreciation event.

* Maintain electronic, verbal, and written communication with college staff and outside stakeholders.

* Communicate with faculty regarding compliance documents, program information.

* Maintain relationships with college employees including College Outreach and Workforce.

* Assist students with the application and registration process.

* Answers inquiries by phone and email.

* Update program websites.??

REQUIRED QUALIFICATIONS:

* High School graduation OR equivalent and two years experience in customer service, clerical, or related field, or a combination of education and experience.

DESIRED QUALIFICATIONS:

* Demonstrated excellent customer service skills.

* Able to thrive in a fast-paced office environment.

* Demonstrated experience working effectively with populations representing diverse backgrounds, life experiences, and abilities.

* Experience with computerized applications within the Washington State System for Community and Technical Colleges (PeopleSoft).??

PHYSICAL WORK ENVIRONMENT:

Work is typically performed in an office setting. The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks. Inventory management requires some lifting and moving of objects up to 30lbs. Excellent communication skills are essential. This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language. This also includes the ability to produce clearly written documents. Those who are multilingual are strongly encouraged to apply.

WORK SCHEDULE:

Monday - Friday 8am - 5pm.

COMPENSATION:

Salary range 34. Beginning salary is $35,280 - $39,528 annually, with progressive increases to $46,596, plus a full state benefits package, which includes tuition waivers for college classes, medical, dental, retirement options and more. Vacation and leave package includes 12 sick days per year, 11 scheduled holidays, 1 personal holiday, 2 personal leave days, and 14 vacation days per year (incremental increases to 24 vacation days per year).

* You must document your citizenship or employment authorization within three days of hire.

* Criminal background check. Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
