Educational Service District 123 is Hiring a Teaching and Learning Administrative Assistant Near Pasco, WA

Position Title: Assistant to Teaching and Learning
Department: Teaching and Learning
Reports To: Executive Director of Teaching and Learning
Classification: Non-Exempt (260 days)
Schedule: Monday – Friday 7:30 AM-4:00 PM

Salary Range: $23.46 (step 1/year 1) - $26.41 (step 5/ year 5) SUMMARY:  Provide administrative support and assistance to the work of the Assistant Superintendent and teaching and learning department, including but not limited to the Teaching and Learning administrators, Educator Growth and Development Coordinators, and Program Specialists to carry out the purpose of the Teaching and Learning Division and the mission of the Educational Service District 123.

ESSENTIAL FUNCTIONS:
  • Provide daily support to the Assistant Superintendent and Teaching and Learning department.
  • Organize and coordinate internal department functions and activities including but not limited to room reservations, set-up and clean up, ordering materials, supplies, catering/refreshments, sign in sheets, organizing technology.
  • Manage ESD 123 Teaching and Learning Division contracts and budgets, including but not limited to regular and ongoing tracking, invoicing, billing.
  • Provide wrap around support for Trainings/Events from event creation to event wrap-up:
    • Pre-event support including but not limited to creating the event in PdEnroller, registration support, ordering and preparing supplies and materials, ordering and distributing catering and refreshments.
    • Day of event support including but not limited to room set-up and clean up, technology assistance, periodic check in, catering setup, manage sign in sheets, assist with managing and monitoring Zoom (breakout rooms, chat, etc.)
    • Post-event support including but not limited to attendance and clock hours, invoicing, reports, note taking and/or typing.
  • Maintain program records, reports, and correspondence as needed.
  • Provide fiscal management support associated with annual budgets and expenditures including but not limited to preparing purchase orders and ordering needed supplies, tracking contracts, complete paperwork for temporary employee agreements, assisting program coordinators with Time and Effort reporting and travel reimbursements.
  • Assist in making and keeping updated complete travel arrangements for program staff that ensures all arrangements are in order for the traveler.
  • Serve as the primary contact for questions and/or concerns regarding paraeducator employment requirements as outlined by the Professional Educator Standards Board (PESB).
  • Coordinate and manage all aspects of paraeducator testing; to include proctoring in-person assessments.
  • Serve as the ESD 123 contact for annual Teacher of the Year (ToY) and Classified School Employee of the Year (CSEoY) applications and coordinate committee review and selection process.
  • Provide exemplary customer service and maintain an effective rapport with our districts, OSPI, and AESD partners.
  • Follow all applicable Board policies and procedures.

QUALIFICATIONS:
  • High School Diploma or GED required.
  • Prefer any combination equivalent to: Two years college-level course work in business administration, office management, office support training or related field; and/or three to five years of increasingly responsible administrative office support experience, including at least one year in an education environment.
  • Competence with the use of Microsoft Office, Google Suite, and relevant equipment and software applications.
  • Competence with and the ability to learn and keep current in the virtual platforms used for training (e.g. Zoom, Google, Microsoft Teams, Canvas).
  • Exceptional personal/office organizational, teamwork, and communication skills.
  • Must be detail orientated and complete tasks according to agency deadlines, policies and project timelines.
  • Ability to compose and format a variety of written communications such as memos, forms, brochures, spreadsheets, and visual data displays.
  • Ability to work independently and adjust to a changing work environment.
  • Ability to maintain a good working relationship with co-workers, school district personnel, and other stakeholders.
  • Ability to operate all standard office machines and equipment.
  • Represent agency in a professional manner.
  • WSP/ FBI background clearance required.

Requires knowledge of:
  • Competence with the use of a computer and relevant software including Google Suite, Microsoft Word, Excel, Power Point, Publisher, and Outlook, experience with accessing information on the Internet.
  • The use of Learning Management Systems for virtual learning.
  • Ability to prioritize tasks; ability to adjust to changes in the workflow.
  • Ability to compose different styles of letters, memos, forms, brochures, narrative reports, visual data displays, presentations; ability to analyze budget reports/spreadsheets, policies and procedures.

  • Develop and maintain a system for managing necessary agency documentation, forms, etc.
  • Maintain financial records and files within the scope of responsibility.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

Work is performed primarily in an office environment; however, some travel might be required to local school districts and program sites, and for workshops, committee representation and conferences at local, regional, and state level. Sitting for extended periods of time may be required. Lifts and carries a maximum of 35 pounds. Adequate manual and finger dexterity, hearing, speech, and vision are necessary to perform the essential functions of this position.
