JOB DESCRIPTION

Position Title: Operations Intern or Fellow
Reports to: Operations Manager
Position Status: Nonexempt, temporary

Salary: 
The salary for the Operations Intern position is $20/hr. EFIF offers Internships to individuals who have recently graduated from high school or are currently pursuing an undergraduate degree.
The salary for the Operations Fellow position is $27/hr. EFIF offers Fellowships to individuals who are pursuing or have recently completed an advanced degree (post-undergraduate).
About EFI Foundation:
The EFI Foundation is a Washington-based registered 501(c)3 nonprofit organization dedicated to harnessing the power of technology and policy innovation to accelerate the clean energy transition. Led by principals with decades of experience and proven track records in government, academia, and the private sector, the EFI Foundation conducts objective, fact-based, and rigorous analysis supported by a multidisciplinary network of experts.
EFI was founded by Ernest J. Moniz, who served as the thirteenth United States Secretary of Energy (2013-2017) during the Obama Administration. Former Secretary Moniz also serves as the co-chair of the Nuclear Threat Initiative (NTI) and holds a position at the Massachusetts Institute of Technology (MIT). Former Secretary Moniz and other principals of EFI also are principals of EJM Associates, LLC, a Washington-based business consultancy.
EFI Foundation and EJM Associates participate in a shared services agreement and, pursuant to the agreement, employees of the EFI Foundation perform professional services for EJM Associates consistent with their job description. 
Summary:
The Operations Intern/Fellow will play a key role in ensuring the smooth functioning of EFIF's office operations. This position will manage office supplies and inventory, support meeting scheduling and logistics for in-person meetings, maintain and organize files, and assist with special projects including (but not limited to) the upkeep and improvement of EFIF’s contract filing system. EFI Foundation employees work from the D.C. office at least Tuesday through Thursday; due to the nature of this role, more in-person work will likely be required.
Your Responsibilities Will Include:

  • Manage office supplies and inventory; monitor adequate stock levels and place orders as needed.
  • Support in-person meetings; book conference rooms, arrange catering, and ensure guests are added to the building security list.
  • Prepare and set up meeting spaces, including audiovisual equipment and materials.
  • Greet and assist guests upon arrival to the office.
  • Maintain and organize digital files, ensuring easy access and proper storage.
  • Assist with special projects as needed.
  • Provide general administrative support, including handling mail and answering phones
  • Occasionally manage calendars and scheduling with the oversight of the Executive Assistant.
  • Contribute to a positive and efficient office environment.
General Time Breakdown:
  • Office Support (Meeting Coordination & Inventory Management): approximately 40%
  • File and Contract Organization: approximately 25%
  • General Administrative Support: approximately 25%
  • Special Projects: approximately 10%
Who You Are:

  • Proactive and able to work independently as well as part of a team.
  • Flexible and adaptable to changing priorities and tasks.
  • Comfort with ambiguity and rapid change. You identify creative solutions to obstacles.
  • A positive attitude and a willingness to learn.
What You’ll Need:
  • High school diploma or GED equivalent
  • Ability to work between 20-40 hours a week
  • Preferred: 1-3 years’ experience in an office setting.
  • Preferred: Familiarity with Microsoft Office Suite, SharePoint, and videoconferencing systems including Microsoft Teams and Zoom.
  • Bonus: Familiarity with Salesforce, ContractWorks, GoCo, and JazzHR systems
  • U.S. citizenship or authorization to reside and work in the United States.
  • Proof of vaccination against COVID-19.
