Job Summary: We are seeking a dedicated and experienced Medical Office Supervisor to join our ENT practice. The Medical Office Supervisor will be responsible for overseeing the daily operations of the office, managing administrative staff, and ensuring efficient patient flow and satisfaction. This role requires strong leadership skills, excellent organizational abilities, and a thorough understanding of medical office procedures.
Key Responsibilities
  • Supervise daily operations of the medical office, including patient scheduling, registration, billing, and collections.
  • Manage and mentor administrative staff, including training, scheduling, and performance evaluations.
  • Ensure compliance with healthcare regulations and standards, including HIPAA and OSHA.
  • Monitor inventory of medical and office supplies and place orders as necessary.
  • Coordinate with medical providers to optimize patient care and workflow.
  • Resolve patient complaints and issues in a timely and professional manner.
  • Prepare and analyze reports on office productivity, patient satisfaction, and financial performance.
  • Implement and enforce office policies and procedures to maintain efficiency and quality of care.
  • Conduct regular meetings with staff to communicate updates, address concerns, and promote teamwork.
  • Stay current with industry trends and best practices to continuously improve office operations.
Qualifications
  • High school diploma or equivalent required; Associate or Bachelor’s degree preferred.
  • Minimum of 2 years of experience in a medical office setting, with at least 2 years in a supervisory role.
  • Strong knowledge of medical terminology, billing processes, and insurance procedures.
  • Proficiency in medical office software and electronic health records (EHR) systems.
  • Excellent interpersonal and communication skills, with the ability to interact effectively with patients, staff, and providers.
  • Proven leadership abilities, including team building, conflict resolution, and decision-making skills.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Certification in medical office management or healthcare administration is a plus.
