WHAT YOU'LL DO

The Health Center Assistant Manager assists with the supervision of front and back office staff, day-to-day operations and ensures the efficient flow of the clinic operations. This person provides administrative leadership and jumps in to support all staff and patient service areas. This position works in coordination with and reports to the Health Center Manager as well as acts as the manager in the Health Center Manager’s absence.

Compensation - Dependent Upon Experience

$66,650.00 - $83,824.00

Requirements

WHAT ARE WE LOOKING FOR?

The successful candidate will be willing and able to:

  • Support the success of daily front and back office operations including Medical Assistant staffing, patient flow, visit productivity, EHR documentation, and the overall patient experience
  • Support, train and assist clinic supervisors with the front and back office staff, Eligibility workers, volunteers and students
  • Assist with maintaining controls and coordinating all clinical duties to ensure proper overall clinic efficiency and positive patient care and employee engagement
  • Actively monitors adherence to Elica’s patient care, clinical outcomes, and policies and procedures
  • Monitor and assists staff with meeting goals and objectives for collaboration with various internal departments including Dental, Behavioral Health, Social Services, Health Programs, Quality Improvement, Compliance as well as other clinic locations
  • Monitors the documentation of and response to clinic equipment inspections and medication inventory monitoring including: eye- wash station, refrigerators and freezers, microscopes, sharp containers, CLIA control testing, medication quality assurance, autoclave, etc.
  • Assists with actively monitoring safety and infection control
  • Works with clinical staff to ensure follow-up telephone calls to patient, patient portal EHR system
  • Supports the success of the clinic in meeting regulations and requirements for programs, including but not limited to VFC, OSHA, Medi-Cal, FamPact, Medicare, HRSA, and PCMH
  • Assists with clinic scheduling problem solving, patient wait times, and other areas of concerns to increase clinic efficiency and quality of services.
  • Assists with training and implementing new workflows with QI assuring all Medical Assistants are trained and working at their skill level and under their scope
  • Attends and participates in committees, meetings, and attends assigned training
  • Collaborates with the Clinic Manager providing input and participating in all front and back office employee annual performance appraisals
  • Ensures protection of individually identifiable health information per HIPAA regulations. Assists Front Desk Supervisor and Clinic Manager to ensure that facilities are safe and meet patient, provider, and staff needs
  • Works with Supervisors to manage the inventory, ordering, and supply stock maintenance of medical supplies
  • Process and resolve inquiries and complaints related to patient care services in coordination with Office Supervisor, Operations Manager, Medical Director, and CEO
  • Assists the Clinic Manager in creating and managing schedules for providers, patients, and staff to insure efficiency and time management as delegated by the Clinic Manager
  • Assist Clinic Manager and Supervisors in preparation for audits as needed
  • Responsible for maintaining a supportive and positive teamwork environment and responding to team morale issues
  • Supports, trains and supervises staff, volunteers, and students
  • Supports the Clinic Manager in hiring new team members
  • Manages on-boarding and training of new medical assistants at the clinic level
  • Mentors and coaches staff, documents staff performance issues, coaches to performance improvement
  • Maintains accurate and timely documentation regarding performance in support of the performance evaluation process
  • Ensures training is up to date and documented
  • Conducts meetings as needed
  • Provides coverage for Clinic Manager during absence including management of timesheets
  • Performs other duties assigned

The successful candidate has:

  • Minimum 3 years of experience in a medical, health or social services setting
  • Minimum 2 years of experience with supervisory or leadership responsibilities
  • Bachelor’s Degree or equivalent work experience in Health Services Administration, Business Administration, Public Health, Public Administration or related field.
  • Previous work experience in a community clinic or FQHC highly preferred
  • Training and HIPAA knowledge is a must
  • Current BLS/CPR certification required.

Additional Requirements

  • Must have a current and valid California driver’s license and the ability to provide proof of personal auto insurance on the vehicle driven during working hours.

Physical Requirements and Work Environment

The work environment is characteristic of a medical clinic environment. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is frequently required to sit; use hands to handle or feel. The employee is also required to stand; walk; and reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds. Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. The employee must also possess hearing and speech to communicate in person and over the phone. The noise level in the work environment is usually quiet.
