Special Education - Administrative Assistant Report To: Director of Specialized Student Services Salary: $40,000 Annually 1. Essential Functions: The Administrative Assistant to the Director of Special Education is responsible for providing confidential technical and administrative support to the Director while establishing significant knowledge of the Michigan Department of Education Individualized Education Program (IEP), Special Services related policies, procedures and practices in addition to having well-developed clerical skills (filing and typing).
Maintain administrator’s calendar and schedule of appointments
Assist the Director of Specialized Services with maintaining records of IEP's, MET, REED?s and 504's
Maintain accurate and appropriate records and files relative to the effective operation of the office; set up database(s), track files
Collect relevant student data, enter, update, and scan student data and enter and maintain data for special education students in MISTAR (maintain awareness of and compliance with federal and state regulations regarding special education)
Produce and distribute information to staff, students and parents as requested
Assist the Director of Specialized Services with a variety of responsibilities and special projects
Perform internal and external office communication: email, voicemail and miscellaneous written correspondence (to include general clerical responsibilities)
Prepare, create and organize a variety of reports, memos, letters, agendas, meeting minutes, newsletters, spreadsheets, reports and other documents relevant to school operations utilizing Microsoft Office, Word, Excel, Access and PowerPoint software programs
Ability to operate and maintain standard office equipment
File, make copies, fax and other general clerical tasks
Provide assistance to students, staff, parents and visitors entering special education office
Project a positive image of the Detroit/Redford/Oak Park Service-Learning Academies at all time
Keep information confidential concerning school business
Act in a professional manner at all times
Maintain inventory of supplies and materials (e.g., forms, office supplies, etc.) for the purpose of ensuring items availability
Have working knowledge of filing and maintenance of special education records
Coordinate meetings, conferences, seminars, special events, travel arrangements and process related expenses and reimbursements
Other duties as assigned
2. Specialized Education:
This position requires knowledge equivalent to which normally would be acquired through an Associate’s Degree.
This position requires two to three years related Special Education experience in a school regulated setting.
3. Skills & Abilities:
Proficient skills in the use of Google, Google Docs, Google Meet, Sheets, Microsoft Outlook, etc.
Proficient skills in the use of MiStar.
Ability to communicate via email, webcam and/or telephone.
Proficient reading, writing and math skills.
4. Physical Requirement:
Prolonged Periods sitting at a desk and working on a computer.
